Job Title: Case Management Supervisor, Reception and Placement Program
Title of Supervisor: Program Director, Reception and Placement Program
Organizational Unit: Community Based Service Division
Hours: 35 hours per week with evening and weekend hours as needed
Classification: Full Time
Location: Southwest Family Service Center 6214 Grays Avenue
Major Responsibilities:
Directly supervises case management staff for the R&P program of Catholic Social Services ensuring that all services provided are compliant with the Department of State cooperative agreement granted through United States Catholic Conference of Bishops (USCCB). Provides intensive case oversight to case management staff and volunteers who are providing services to individuals and families in the R&P program.
Principal Duties and Responsibilities:
- Ensures all core services mandated through the Department of State Cooperative Agreement are provided to clients on caseload within allocated timeframes.
- Assigns cases to case management staff and oversees workflow to ensure timely provision of core services including airport pickups, home visits, school enrollment, domestic health assessments, and access to public benefits during the resettlement period.
- Provides regular supervision conferences with staff to identify barriers for successful resettlement and assists in creating solutions to remove barriers.
- Facilitates weekly group case conference meetings with R&P team for the purpose of case coordination.
- Provides training and support to staff working with new arrivals, ensuring that they are providing services to families that align with the Mission of CSS and are compliant with the Cooperate agreement.
- Manages the transition to post-resettlement following each case’s time with R&P taking close consideration for those that need more support and directing them to programs and area resources to help support them.
- Works in conjunction with partner agencies to ensure that program and client needs are communicated and addressed in a timely manner.
- Active member of the city-wide resettlement collaborative including the PRRPC meeting held quarterly and subcommittees developed for health, education and employment and other resettlement related concerns.
- Maintains regular contact with Program Director including regularly scheduled supervisory meetings to discuss current trends and issues with R&P clients.
- Reviews, approves, and monitors departmental staff travel and program expenses on a weekly basis with Program Director.
- Ensures case file documentation is maintained in compliance with contractual requirements.
- Review and submit R&P period reports.
- Assists Program Director in the interviewing, hiring and evaluating of staff as needed; makes personnel recommendations to R&P Program Director in the areas of selection, evaluation, training, promotion, discipline, or dismissal; monitors the budget/spending in program and operational expenses.
- Assists with the preparation for all monitoring visits including USCCB and ORR.
- Participates in regular site meetings, supervisor meetings and other agency and/or community meetings when appropriate, may be responsible for facilitating or chairing such groups.
- Assists with preparation for annual events such as Welcoming Luncheons and World Refugee Day events.
- Other Duties as assigned.

- Ability to establish and maintain a positive and professional relationship with co-workers, participants, and visitors; cultural sensitivity and the ability to relate well and effectively in a diverse work place with a diverse client population is required.
- Ability to organize, efficiently document, and routinely update information, and orient new staff to same.
- Exceptional interpersonal personal skills that permit candidates to work with a diverse community and build collaborative relationships with a variety of community stakeholders.
- Ability to responsibly prioritize competing tasks but also follow through in a timely manner.
- Ability/Desire to work cooperatively as a team with other staff, the client, and client’s circle of support.
- Availability to work evenings and/or weekend hours as needed.
- Possess a valid PA State Driver’s License and provide proof of automobile insurance/clean driving record.
- At least two years of relevant experience in providing services to newly arrived immigrant families. This requirement may be substituted by additional relevant education
- Experience in supervising, supporting and training staff.

- Bachelor’s Degree in Social Work or related field of study

- Must be able to stand for extended periods of time during both indoors and outdoors events.
