Overview
This position will provide assistance to Administration at Archbishop Carroll High School. This position requires the ability to interact effectively and appropriately with administrators, archdiocesan partners, parents, students, etc. in a professional, proficient manner. Due to varied nature of responsibilities, must have the ability to prioritize and organize job responsibilities for maximum effectiveness. Strong time management skills and the ability to work independently and perform job duties with minimal supervision is a plus.
Primary responsibilities include but are not limited to the following:
School Administration Assistant:
- Coordinates/complies all materials needed for Constant Contact, Patriot Post, Faculty Bulletin, etc. distribution
- Learning and working in the PowerSchool database system to run reports and update data as needed
- Prepare and compose internal and external correspondence with appropriate follow-up; preparation of presentation materials and expense reports
- Assist in meetings by ensuring that all required information is completed, delivered in advance and available for the appropriate parties.
- Anticipate and execute on various duties as required to effectively support the administrative team.
- Set up and maintain paper and electronic filing systems for records, correspondence, and other materials
- Complete forms and correspondence in accordance with high school procedures
- Maintain a record of all personnel files of teachers, staff, coaches and moderators.
- Manage special projects, studies and surveys
- Responsible for assisting with the collecting and storing of all compliance forms for faculty, staff, coaches, and volunteers
Admissions Office:
- Incoming phone calls to Admissions main phone line, and taking messages for Director of Admissions and Assistant Director of Admissions
- Working with the school Accountant for budgeting and ordering admissions supplies
- Helping the Admissions Director in facilitating shadow visit arrivals
- Learning and working in the SchoolAdmin Admissions database system
- Office administrative tasks as they arise
- Liaison between Admissions and Academic Administration regarding new student enrollment.
Required Qualifications:
- Strong organizational skills and attention to detail
- Strong writing, oral and interpersonal skills
- Strong Microsoft Office Suite skills, particularly Word, Excel, and PowerPoint is Preferred.
- Knowledge of PowerSchool is a plus
- Ability to work both collaboratively and independently
- Ability to attend school functions outside of standard business hours including some evenings and weekends
- Must be responsible, dependable, and adhere to strict confidentiality policies
This position is full-time, 10-month position
