General Introduction
The Archbishop is the visible principle and foundation of unity in the particular Church entrusted to him. In a unique and visible way, he makes Christ’s mission present and enduring as Shepherd of the Christian Community. In order to fulfill his mission, the Archbishop employs suitable, chosen collaborators (clerics, religious, or lay people). He shares with them the apostolic mission and entrusts various responsibilities to them. (Directory on the Pastoral Ministry of Bishops, 198)
Each position employed in the Chancery helps to extend the ministry of the Archbishop in particular ways as outlined in the position description. The mission of the Office of Communications is to extend the ministry of the Archbishop of Seattle that unites the Catholic Community of Western Washington with the Catholic Church throughout the world. The Office serves all involved in this ministry of service and supports the faith of this community of believers using the means of social communications to inform, educate, inspire and challenge people to live the fullness of their Catholic faith.
General Summary Of Essential Purpose
Responsible for coordination of all front desk activities including hospitality, customer service, mail for the main Chancery office as well as general administrative services. This position reports to the Facilities and Operations department.
Essential Position Duties
- Provides high levels of customer service in person, over the phone and in email on behalf of the Archdiocese by managing the reception area, general email and as a backup for the general phone lines.
- Greets and provides hospitality for Chancery visitors, while coordinating with the department hosting the visitor including maintenance of a central visitor calendar, log and parking registration.
- Provides for coordination of security, assists with security monitoring and notification to security officers as needed.
- Acts as a central point of contact for service related to some facilities functions such as parking and transportation, vendor/visitor security badges, etc.
- Ensures timely and efficient mail reception, sorting, and coordination of mail for all Chancery departments.
- Prepares shipping estimates, coordinates mail- prep, orders shipping supplies, schedules shipping vendor, and generally organizes the mail room materials.
- Orders general office supplies and maintains the main supply area for all Chancery departments as needed.
- Cross-trains backups to assist in performing front desk duties.
- May provide support of onsite Chancery events or general administrative support.
- Other duties as assigned.

ESSENTIAL QUALIFICATIONS:
- Willingness and ability to support the mission of the Church by extending the ministry of the Archbishop.
- Ability and desire to use God-given gifts and talents in service of the local Church in support of the collaboration between lay and ordained Ministers.
- Willingness to conduct all interactions on behalf of the Archbishop’s Office of Communications with respect and Christian charity.
- Active member of a parish/faith community in good standing with the Church is a plus.
Education
- High School graduate or equivalent. Some college preferred
Experience
- Customer service experience. Prior experience with a Catholic parish or school is a plus.
- Experience with personal computers/Microsoft office.
- Demonstrated attention to detail.
Other Elements
- Excellent interpersonal skills and the ability to work effectively with a variety of people.
- Excellent communications and telephone skills.
- Excellent organizational skills and the ability to maintain a clean work environment.
- Maintain a professional appearance and demeanor.
- Conversational proficiency in Spanish desired.
