Parish Family 16 (primarily St. Anne Seattle) is looking for a dedicated and organized Administrative Assistant to join the team. This role is essential in supporting the daily operations of the parishes and ensuring smooth communications within the community.
Position: Administrative Assistant I
Location: 1411 First Ave W, Seattle, WA 98119
Reports to: Director of Operations, St. Anne and Sacred Heart
Position Purpose
- Provides administrative services in support of the parishes and their various ministries, functions, and activities
Essential Position Functions
- Provide administrative support to the clergy and parish staff including taking notes at staff meetings and helping with internal accountability
- Physically present for parish office hours and to be available for vendors as needed as well as helping the staff maintain a general neatness for the campus
- Support in maintaining the Parish Database System (ParishStaq) by making changes, additions, and deletions as needed including: entering in giving information; registering parishioners; and maintaining donor data
- Manage and organize church digital and physical records and documents including sacramental records
- Maintain office supplies, manage inventory and reorder items as needed
- Help in preparing communication materials and other correspondence for the office including support for the parish family website and bulletin collaboration in helping collect communication needs
- Cooperate with volunteers: in preparing bulk mailings; referring those in need to social agencies when appropriate; processing mass intentions; and assisting with answering telephone and greeting visitors and assisting them or referring them as appropriate
- Assist with scheduling and coordinating parish events, meetings and sacraments
- Coordinates volunteers as needed for parish administrative projects
- Attends annual staff retreat and other spiritual/professional formation as needed
- Performs other duties as assigned
Qualifications
- Associate degree or equivalent; additional qualifications in office administration are a plus
- Proven experience as an administrative assistant or similar roles
- Proficiency in Microsoft Office Suite and technology literacy in database management
- Excellent organizational and multitasking abilities
- Strong communication and interpersonal skills
- A faithful Catholic committed to the values and mission of the Catholic Church who is registered in a local parish
