We are currently hiring a part-time office coordinator at Mercy House. The successful candidate will oversee the day-to-day operations, including bookkeeping, paying invoices, scheduling service providers, coordinating events and meetings, communicating with stakeholders, and marketing Mercy House programs.
I. POSITION PURPOSE
The part-time office coordinator provides administrative services in support of the Mercy House and its activities.
Ii. Essential Position Functions
Mercy House office coordinator position is responsible for the following assignments:
- Supports the multiple programs at the new Mercy House location. The primary responsibilities are overseeing bookkeeping, paying invoices, scheduling service providers such as maintenance, cleaning, and landscaping, coordinating events, writing grants, communicating with stakeholders, marketing Mercy House programs, and others. The candidate will work with the PAA, church office personnel, CCS, YWCA, SVDP representatives, and vendors, inclusive but not exclusive.
- Performs secretarial functions for other staff as delegated.
- Provides general support and administrative resources to those needing
assistance.
- Maintains records and other filing systems.
- Maintains facilities calendar and accommodates requests for changes.
- Serves as liaison and public relations representative between the parish and its staff members, parishioners, committee members, vendors, and others visiting Mercy House.
- Assists those in need by providing appropriate referral sources.
- Maintains office supply inventory and reorders as needed.
- Provides overall supervision for Mercy House
- Coordinates volunteers as needed for administrative projects.
Iii. Secondary Functions
- Serves as backup receptionist as needed.
- Prepares appropriate documentation and provides duplicating and collating
services for workshops and staff events.
- Attends workshops and provides general assistance as needed.
- Performs other duties as assigned
The employee will start working 10 hours a week and may increase up to 20 hours as needed to operate Mercy House. Staying in budget is absolutetly required for this job.
The positions require a diverse range of skills to excel in the roles. These skills include
team player, time management, computer proficiency, attention to detail, communication, organization, adaptability, creativity, problem-solving, customer service, multi-tasking, and confidentiality. Proficiency in PushPay and MS-365 are plus. Bilingual is a plus.
Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant’s skills and prior relevant experience, certain degrees and certifications.
