Job Summary
The Society of St. Vincent de Paul Detroit (SVdPD) exists to build a more equitable and compassionate world through meaningful personal relationships, providing whatever is needed to help our neighbors in need get back on their feet and on a path towards self-sufficiency. Our programs provide support ranging from utility, housing and food assistance to education and mentorship programs. The Society also operates a network of thrift stores, two camps, food depots and a nutritional center. We are passionate about systemic change and helping neighbors throughout Metro-Detroit break out of poverty. The Donor Engagement Coordinator is responsible for providing oversite of the Raiser's Edge development database, related business processes as well as provide end-use support and training and integration with other internal and departments and external organizations. The Donor Engagement Coordinator will work closely with both the Marketing and Accounting Departments to achieve goals and strategies to increase public and private support for the Society of St. Vincent de Paul.
Essential Duties And Responsibilities
- System Administration & Database Management
- Serve as SVdP Blackbaud contact regarding contract, licensing, invoicing, product patches, alerts, upgrades, user training and support, data integrity, software functionality. Interface with Blackbaud to problem solve and resolve technical issues.
- Serve as in-house support for Raiser's Edge NXT, Blackbaud Merchant Services, Blackbaud Payment Services.
- Set-up, maintain and monitor user accounts.
- Develop and maintain policies and procedures guide for development database operations including data entry, reports, coding, queries, and data imports and exports to various specifications.
- Support initiatives of various department in tracking, mailing, and reporting on groups such as Conferences, Vincentians, Events, Camp Alumni, volunteers, etc.
- Ensure data flow between Raiser's Edge and Accounting functions.
- Gift Processing
- Oversee and direct all aspects of day-to-day gift processing and accounting that pertains to gift preparation, gift entry, receipting, acknowledgements, archiving, gift data review, check requests and clean-up.
- Prepare all gift receipts and donor acknowledgement in all forms to all parties associated with each gift according to IRS rules and regulations pertaining to acknowledging charitable contributions.
- Process all daily mail and submit daily deposit for all cash receipts received at Central Office.
- Provide gifts and donor data to the Accounting per defined due date.
- Participate in Accounting reconciliation weekly, monthly, quarterly, annually and as needed.
- Book adjustments as directed.
- Develop SVdP financial chart of accounts and accounting interface.
- Development Support
- Ensure security and confidentiality of manual and electronic donor data and department files
- Provide excellent stewardship in person, by phone, email and U.S. mail.
- Be able to communicate SVdP mission and programs to all stakeholders and prospects.
- Support Development Department initiatives such as events, planned giving, prospect research, goals, marketing, public relations, stewardship and proposal writing.
- Create analytical queries and reports to assess campaign results.
- Communicate directly with outside vendors to coordinate direct mail and email campaign scheduling, inputs, coding and reporting as requested.
- Participate in planning meeting.
- Organizational Support & Other
- Independently prioritize daily work and develop and maintain month end calendar of operations to accommodate mailings and reporting. Work a flexible schedule to accommodate busy periods, with restricted vacation during those times.
- Ability to manage multiple priorities with competing deadlines to ensure goals are met in a timely manner.
- Collaborate with staff from all departments regarding events, special projects and organizational priorities.
- Analyze, plan and produce reports for various departments as needed.
- Other duties may be assigned.
Education And/or Experience
- Bachelor Degree
- 3 years minimum experience in the nonprofit sector
- Strong familiarity with the non-profit sector
- Computer experience must include Microsoft Office Suite, Raiser's Edge NXT Software
