General Position Summary: Assists with effective operation of the parish by operating the parish database program efficiently and effectively. Works in collaboration with the parish priests, staff and organizations to meet their data management needs to the greatest extent possible. This individual, under the direction of the Pastor or Pastoral Administrator, provides and maintains the day-to-day administrative duties of the Safe Environment Program for their parish.
Principal Accountabilities
- Strong advocate and proponent for the Safe Environment Program of the Diocese
- Attends Diocesan meetings on Safe Environment programs/issues on behalf of the Parish
- Acts as the first point of contact for the processing of volunteer applications
- Manages the Safe Environment Program filing system in accordance with USCCB audit guidelines and retention criteria as set forth by the Diocese of Fort Worth
- Maintains confidentiality of applicants’ criminal background, driver and credit check status
- Updates and maintains Safe Environment database records; including criminal background checks, code of conduct compliance, and required training
- Notifies ministry supervisors of existing volunteer training certification and re-certification needs
- Conducts routine monitoring of the database for the current eligibility status for all school/parish staff and volunteers
- Correct inaccurate data in current database
- Supports the parish’s/school’s compliance effort for the annual audit of the Safe Environment Program
- Provides secretarial and clerical services when needed to the Pastor or Business Manager
- Provides receptionist services for the parish office including the recording of clear and accurate messages, the handling routine questions about policies, events, etc., and the greeting visitors
- Assist in maintaining parish calendar
- Responsible for all other projects, tasks, etc., as assigned

- Supervision will be provided by the Business Manager

- Effectively communicate with volunteers, adults, as well as other churches and employees throughout the diocese
Working Conditions And/or Physical Requirements
- This position works in a typical office environment, but is subject to stress due to the evolving and quickly expanding business needs, tight deadlines and heavy workloads
- Data entry via computer keyboard that requires repetitive and frequent hand and wrist movement
- Ability to lift up to 35 pounds with assistance and up to 60 pounds with assistance
Travel Requirements
- Some travel required, up to 15%
Education And Experience Preferred
- High School Diploma or equivalent required.
Knowledge And Skills Preferred
- Solid knowledge and understanding of fundamental database concepts (ex. Input, storage, retrieval, reporting, etc.)
- Must be highly proficient in using Microsoft Office Programs, (Word, Excel, and PowerPoint.
- Individual must have well developed “people skills” in interacting with all who come to the parish office.
- Ability to solve practical problems while dealing with a variety of concrete variables.
- Ability to maintain confidentiality in all aspects of the job.
