The Legal Operations Manager will lead key processes that are critical to the functioning of the Legal Department including: Design, implement and manage system-wide matter management process utilizing existing technology platforms; support management of outside counsel and other legal service providers; serve as lead coordinator of legal tech vendors, service agreements and technology updates; provide overall responsibility for implementing Legal Operations Maturity Model including department measurement and benchmarking tools; support contract lifecycle management in collaboration with internal departments. This position will work independently within the Legal Department in collaboration with other internal support functions to enable the efficient and effective delivery of legal services within Catholic Charities. The successful candidate will develop strong relationships with internal constituents including information technology, finance, performance improvement, human resources, advancement, and program areas.
- Ensure that the activities of this position and relevant programs are consistent with the mission, vision and values of Catholic Charities, Diocese of Cleveland.
- Identify and implement methods to streamline the delivery of legal services within the system, through the continuous assessment of departmental policies, processes and tools consistent with the Legal Department's goals and objectives as determined by General Counsel.*
- Evaluate existing technology solutions for the legal department, including matter management systems, electronic platforms, and contract automation tools to integrate into existing technology and implement new technology that aligns with Legal Department's goals and objectives.*
- Prepare, monitor, and track legal department objectives. Create metrics and trends on key data points aligned to the General Counsel’s key objectives, as well as overall department effectiveness and efficiency. Report to General Counsel on key operational and substantive metrics for the legal department that will better inform decision-making, including matter and work product analyses.*
- Lead Legal Operations’ initiatives on functional areas including project design, execution, training and communications.*
- Manage targeted aspects of external legal and technology vendor relationships, including engagement agreements, performance measurement, reporting and compliance with billing guidelines.*
- Develop operating procedures, manuals, forms, systems to ensure compliance within the organization and create/deliver training to the organization.*
- Define and drive strategic and operational initiatives with on-time and on-budget results.
- Recommend development and implementation of policies and procedures within the department.*
- Research new issues and maintain/track outstanding workflow items and statuses to ensure proper and timely responses.*
- Collaborate with cross-functional teams to achieve business objectives.
- Serve as point of contact and resource for information concerning matter management in consultation with General Counsel.
- Perform other duties as necessary to accomplish objectives.
Working Conditions and Physical Demands:

- Organizing and coordinating schedules for initiatives and execution on a frequent basis.
- Frequently analyzing and interpreting data complying with contracts, metrics, policy and legal requirements.
- Communicating with the workforce, qualified professionals, individuals and groups frequently.
- Frequent use of computer and telephone/cell
Requirements:
- Combination of experience and education normally represented by Masters’ degree, MBA, or JD preferred, with 5-7 years of experience involving administrative practices, project or database management as part of a legal team.
- Experience breaking down processes and designing solutions.
- Demonstrated ability to independently move projects forward by gaining support needed from others while working in a cross-functional role; self-motivated.
- Detail oriented with strong organizational and time-management skills.
- Must have an ability to build relationships, earn confidence, and collaborate.
- Must be comfortable working with legal technology and have a keen enthusiasm for learning new systems.
- Ability to handle work of a confidential nature and prioritize assignments with ability to multi-task and work with minimal supervision.
- Must have excellent analytical, logic, problem-solving, and project management skills and sound business judgment.
- Must have the ability to organize work in a neat, logical, and well documented manner.
- Must have excellent oral, written and interpersonal communication skills, and comfort communicating with employees at all levels of the organization
- Advanced working knowledge of computers and proficient in Microsoft Office software especially Excel skills, project management and legal tech platforms.
- Must be able to work a flexible schedule that may include occasional weekend and evening hours to attend conferences, trainings and external meetings.
- An entrepreneurial mindset and a passion for innovation and driving results.
- Must have reliable means of transportation for local travel.
