Provides a primary point of contact for the friars of the Province regarding administrative matters. Supports day-to-day administrative matters and provides support to the Finance Office.
a) Determines the needs of the friars and other entities dealing with the Province office. Provides advice, guidance, answers and/or solutions. Refers the more serious matters of the friars to the appropriate Province office (e.g., Provincial Vicar, Finance Officer, Treasurer, Secretary, Director of Healthcare, Human Resource Consultant, etc.) for further action.
b) Manages the administrative aspects of the Province office, including:
I. Managing and coordinating incoming communications;
II. Receiving guests to the office with a sense of hospitality;
III. Ensuring that office supplies are maintained and ensuring re-supply as necessary;
IV. Ensuring the operation of office equipment;
c) Assisting the Finance Officer and Controller in accounts payable, invoicing, receivables and assembling various reports
d) Communicating important administrative information to local and Provincial entities;
e) Planning or coordinating the planning of local and Province-wide meetings, events and celebrations;
f) Performing administrative support tasks to the various Province offices, (e.g., routine finance tasks, gathering data and developing reports, supporting the Provincial Secretary and Provincial Treasurer as needed in performing their tasks, etc.)
g) Ensuring the confidentiality of files and file systems.
h) Performing special projects and tasks as required.
i) Other duties assigned by the supervisor.
Qualifications Required
a) Must be a practicing Catholic
b) 3 to 5 years of experience in providing office administrative support;
c) High school diploma or GED is required Some college is a plus.
d) skills, such as proficiency in computer software or word processing systems; or
e) traits, such as attention to detail or the ability to manage deadlines.
