Church of the Annunciation in Kearney, MO is seeking a full time Operations/Business Manager. This position is responsible for the efficient and effective management of the financial, physical plan and human resources of the parish.
The Operations/Business Manager shares limited supervision of parish employees and typically performs a significant amount of technical work in addition to administrative duties. The Operations/Business Manager reports to the Pastor and requires a Bachelor’s degree or equivalent and experience overseeing accounting systems.
Essential Duties:
Manage and prepare financial reports and statements, including but not limited to regular financial reports and end of year fiscal reports.
- Manage and prepare financial reports and statements, including but not limited to quarterly financial reports and end of year fiscal reports.
- Develop annual budget in collaboration with Finance Council and Pastor.
- Meet quarterly with Finance Council and Pastor to review finances.
- Process all accounts payable in a timely manner utilizing QuickBooks.
- Maintain Vendor records.
- Oversee parish’s online giving platform.
- Monitor and promote online giving.
- Perform routine duties to maintain parish offering system.
- Process accounts receivable and contributions.
- Maintain contribution records and provide giving statements to parishioners.
- Act as liaison between parish and the diocese in completing and providing annual reports including Annual budget and year-end report, SEC reports, and Spirituality reports.
- Ensure compliance with all Diocesan operational policies and procedures.
- Process Mass Intentions and maintain calendar.
- Manage payroll and human resources functions, including overseeing recruiting, interviewing, hiring; managing onboarding and offboarding of employees; running payroll and maintaining Employee records.
- Act as Safe Environment Coordinator for employees and volunteers.
- Manage membership records.
- Oversee supervision of independent contract workers.
- Work to implement and manage strategies/policies for security, safety, and facility management ensuring compliance with Diocesan and government policy.
- Complete routine equipment maintenance and and oversee maintenance and purchasing of equipment, including computers.
- Maintain all compliance documentation and licenses. (Health Dept., VIRTUS, OSHA/SAFETY)
- Meet with individuals in need of financial assistance to determine eligibility and process any needed documents.
- Buy, maintain, and organize office, building and kitchen supplies.
- Write weekly mass announcements.
- Update and publish weekly bulletin.
- Set Agendas and Record minutes of staff meetings.
- Maintain church, office and Annunciation Community Center calendars.
- Manage parish communications including phone, mail, email, and website.
- Photograph events as requested.
- Oversee Annunciation Community Center rentals and contract agreements.
- Administrator of FORMED subscription.
- Other administrative tasks that may be assigned.
Qualifications:
- Knowledgeable in accounting principles, budgeting, general ledger, fixed assets, cash flow management, accounts payable, payroll and financial reporting.
- Excellent interpersonal skills - highly collaborative and an effective team member.
- Strong organizational skills and attention to detail.
- Take personal responsibility for the quality and timeliness of work and achieve results with little oversight.
- Strong technological competence and ability to learn software quickly.
- Handles confidential information with integrity.
- Maintains a courteous and professional manner.
- Proficient skills in Microsoft Office, Website management, and QuickBooks or other accounting software experience.
- Intermediate skills in general ledger systems and Excel.
- Familiarity with the Catholic understanding of ministry is an asset.
