ADVANCEMENT COORDINATOR
General Responsibilities
The Advancement Coordinator will support implementation of all Advancement related initiatives. Reports directly to the Director of Advancement and works with all members of the Advancement Team as well as parent volunteer leaders.
Specific Responsibilities
- Manage Advancement databases (Abila, GiveButter, Greater Giving). Process constituent updates (donations, contact information, event attendance, biographical information, etc.). Process mail merges and database queries and assist with generating and analyzing gift and event reports. Maintain database accuracy and confidentiality.
- Schedule, supervise and manage parent volunteers for Advancement and Alumni events.
- Record all charitable gifts to the school and generate thank you letters, deposit reports, and commitment
reminders.
- Coordinate and manage the Charitable Tuition Partnership program including segmentation, production of
materials, and mailings.
- Perform clerical aspects of capital campaigns, fundraising initiatives, and special events.
- Assist with coordination of annual Marauder Fest event including managing parent committee activities, auction database, mailings, and communications.
- Coordinate annual Grandparents Day event.
- Contribute to the overall success of the school, Office of Advancement, and the President’s Office by working on special projects and performing all other duties and responsibilities as assigned by the Director of Advancement and/or the President.
Qualifications
- Strong belief in Catholic education and support the mission of the school.
- Bachelor’s degree is preferred.
- Experience in a school or non-profit environment is helpful.
- Must be well organized and able to handle multiple projects within established timelines.
- Must possess excellent communication skills (written and oral) and have an enthusiastic and dynamic personality.
- Must be comfortable working with all constituencies including school leadership, committee members, parents,
alumni, volunteers, students and others.
- Flexibility with scheduling of hours required. Must be available to work occasional evenings and weekends.
- Proficiency in Microsoft Office programs (Word, Excel, Teams, etc.) and fundraising software is necessary.
- Experience with Constant Contact, Canva (or other creative software) and event software (Greater Giving) is helpful.
- Must adhere to professional code of ethical conduct and maintain standards of professional competence and confidentiality. Must be able to pass a level II background check administered by the Diocese of St. Petersburg and complete all Diocesan mandated trainings.
