GENERAL DESCRIPTION: The Front Office staff is the face and voice of the clinic. This staff will work with and report to the Front Office manager to provide excellent healthcare at two Life Choices Women’s Clinics and on the Hope Mobile Clinic (aka Phoenix Women’s Clinic). All responsibilities will be performed for Life Choices Women’s Clinic (LCWC), and all entities under LCWC. Front Office Personnel will serve as the initial contact with patients in person, on the phone, email, text, and website chats. Other tasks of the Front Office include office support, peer counseling, reporting pregnancy test results under the supervision of the medical director.
REQUIREMENTS: The Front Office personnel must complete an application or submit a resume, consent to and pass a background check, and complete an orientation session and training program. Front Office staff must be committed to the sanctity of human life and should express a commitment to the clinic’s life-affirming mission as well as have a desire to serve women in crisis. Excellent verbal and written communications skills are required. All staff must be able to embrace differences among people and be able to interact with internal staff as well as external contacts in a culturally competent and respectful manner.
SPECIFIC RESPONSIBILITIES:
1) Answer telephones, email, text and chat to answer questions, schedule and confirm appointments for medical services.
2) Route phone calls to appropriate party as needed.
3) Greet patients in a friendly manner and provide forms for clients to fill out and get client signatures where necessary and ensure client paperwork is completed.
4) Assure Reception area is neat and organized and maintain a neat reception work area.
5) Assure all forms are well stocked.
6) Open and close office following procedures.
7) Perform clerical tasks which will include data entry and correspondence with patients.
8) Obtain proper specimens, run pregnancy tests and report pregnancy test results.
9) Assist the RN’s, MA’s and NP’s as needed including chaperoning exams.
10) Clean all areas of the office between clients and at the end of each workday.
11) Perform other duties as assigned.
12) Participates in fundraising events.
13) Acts in a manner consistent with Mission Statement and Values of LCWC.
14) Observes and respects the confidentiality of information in regard to patients, visitors and co-workers, employees, including salary information, if exposed to any of the above referenced information in the course of his/her job function.
Minimum job requirements: Proficient in English and Spanish.
Skills: Excellent verbal and written communication, computer proficiency in Microsoft Office and web- based programs, punctuality, flexibility, efficient, and accurate performance of tasks.
Employee classification: Full time, 32-40 hours/week, non-exempt.
