General Position Summary: The Youth Ministry Administrative Assistant will provide general clerical & logistics support for Youth Ministry for developing a comprehensive youth ministry program to guide all High school & Middle School students in the parish.
Principal Accountabilities
- Answering emails and phone calls with respect to adult formation, which would include Family Faith Formation, Marriage & Family, Adult Catechesis and collaboration for VBS.
- Communicate through email, phone, and group messaging with the parents of our students, parish staff, and volunteers regarding all middle school and high school formation needs
- Create and send out email marketing materials and weekly updates to parents and families.
- Schedule and assist with organizing retreats, trips, pilgrimages, and other youth events.
- Collect and track all Confirmation and RCIA-AC documents in an organized and efficient manner.
- Manage registration of students by organizing paperwork, forms, and documentation.
- Ensure all adult volunteers are always current on Diocesan Safe Environment.
- Oversee and collaborate with volunteers with food for youth ministry, offerings, including organizing kitchen teams and weekly meals.
- Supervise the check-in process for our weekly youth ministry programs.
- Make liturgical documentation as needed for Confirmation and RCIA (programs, handouts, etc.)
- Assist Youth Ministers in a variety of administrative tasks as they arise.
Travel Requirements
- Minimal travel is required for this position
Education And Experience Preferred
- Minimum three years of experience in ministry
- Minimum one to three years of experience in parish or business environment
Knowledge And Skills Preferred
- Ability to multi-task and meet deadlines.
- Ability to be detail-oriented with organization
- Ability to relate with parishioners easily and personably
- Ability to cast vision and lead teams of volunteers
- Ability to speak in front of large crowds
- Ability to critically assess progress and implement improvements
