Basic Function:
This position will be an administrative position responsible for quality assurance for Help Me Grow. This position will be overseen by the director of Help Me Grow with significant interaction with the senior director of regional services in an effort to coordinate between Help Me Grow and Performance Improvement. The intention of this position is to ensure that comprehensive data is entered, exported and analyzed to create the appropriate monitoring and reporting systems for the Help Me Grow (HMG) program. This position will also be responsible for monthly reporting to the Performance Improvement Committee of Catholic Charities.
This position will also be responsible for developing and tracking deliverables from complimentary grants provided to the Help Me Grow program.
Responsibilities:
- Ensure the activities of this position and relevant programs are consistent with the mission, vision, and values of Catholic Charities, Diocese of
- Responsible for the day to day data management and reporting.
- Provide support to the assistant director in efforts to train staff on data input. This position will help to ensure day-to-day data inputting to ensure that Home Visitors enter their data into OCHIDS and extract reports as needed.
- Support the HMG leadership with the training of new staff to collect and obtain appropriate data required by the HMG program.
- Problem-solve with supervisors on barriers to data collection and inputting of data by HMG home visitors. This includes strategies to track down immunization data, or other data required but not provided by ODH. Prepare reports as appropriate for the assistant director to support the review of trends of HMG home visiting.
- Own data collection tools and support improvement of data collection methods and resources used to collect data for outcomes and reporting.
- Work with finance team and extracted data from OCHIDS to provide comprehensive productivity metrics to the assistant director and to home visitors and supervisors as appropriate.
- Work with the Performance Improvement team to provide the data, analysis and reporting as requested. Prepare reports to be uploaded into PowerBI.
- Present data and trends in a digestible matter at all meetings to inform others about the HMG work.
- Provide information as requested by the assistant director to support the discussion of logistics and operations at monthly meetings. Compile and maintain statistics on clients/participants as well as be prepared to discuss reporting and data collection opportunities and challenges.
- Support all record retention requirements for the program.
- Implement calls to families to verify documentation and quality of service.
- Conduct quarterly audits to ensure compliance of data according to model fidelity.
- Review data to ensure model fidelity
- Review data entry to ensure all staff enters data consistently, routinely, and accurately.
- Maintain and update client demographics and statistics.
- Support the preparation of reports as necessary for funders and regulators in coordination with HMG director and HMG staff.
- Contribute to grant writing to incorporate appropriate data and information about the program.
- Work directly with the senior director of regional services to ensure data tracking and analysis aligns with the needs of Catholic Charities as well as accrediting organizations such as Healthy Families America and Parent as Teachers.
- Will be point person from Help Me Grow to present as appropriate the Performance Improvement Committee of Catholic Charities.
- Attend meetings of organizations working collaboratively in similar field of work in the community to identify potential additional data reporting opportunities or opportunities to share the organization’s data to progress the work being carried out in the community.
- Be point of contact to coordinate with the performance improvement and finance office.
- Be responsible for all accreditation preparation and implementation of visit.

Working Conditions and Physical Demands:
- Normal office environment;
- Frequent travel throughout Catholic Charities’ HMG and other sites to attend meetings.
- Finger dexterity, holding, grasping, and repetitive motion to manage correspondence, faxing, copying, answering phones, forms/documents, computer keyboard and client files required Frequent sitting, talking, listening/hearing with staff/client, answering phones;
- Frequent reading, writing of program reports, budget review, policies, procedures;
- Organizing and coordinating schedules;
- Analyzing and interpreting data, statistics, budget/funding;
- Communicating with staff, community agencies and civic organizations;
- Frequent use of computer and telephone/cell
- Will have a sound understanding of all home visiting models and the work of HMG.
Requirements:
- BA highly recommended. Must have knowledge and experience managing complex data systems and technology to support home visiting programs.
- Must have experience and expertise in managing and analyzing data.
- Must have demonstrated experience in logistics and management of schedules towards enhanced productivity models.
- Must have demonstrated experience in quality assurance
- Ability to take direction as well as independently.
- Ability to train and work with staff for consistency, timely, and accurate data entry.
- Ability to work with a dedicated team.
- From 3-5 years of fiscal, administrative, management and supervisory experience
- Must have excellent leadership and organizational skills, strong detail-oriented skills with the ability to supervise and work as part of the
- Must have the ability to effectively manage a variety of concurrent and varying
- Must have excellent oral, written and interpersonal communication
- Must have the ability to relate to a wide variety of persons, as well as organizations and systems both public and
- Good working knowledge of computers and Microsoft Office
- Must have valid Ohio Driver’s License and reliable means of transportation for
- Final applicant is required to be fingerprinted to complete a background
