Job Title: Accounting Assistant
Reports To: Fiscal Manager
FLSA Status: Non-exempt
Summary Statement: Perform Accounts Payable, Accounts Receivable, and Payroll functions. Collect, process, and distribute data both internally and externally. Assist in audit preparations. Must have a strong attention to detail.
Essential Duties and Responsibilities:
· Receive and log mail daily.
· Answer and direct phone calls daily.
· Review and key-in Accounts Payable data and process checks.
· Review timesheets and allocation sheets for accuracy.
· Prepare and process payroll and complete reports.
· Communicate with vendors and obtain W-9’s as necessary.
· Review and update coverage amounts for life insurance and code monthly invoice for payment.
· Prepare monthly salary and benefit information for program billing.
· Prepare monthly reimbursement request for Reception and Placement Administrative expenses.
· Oversee, coordinate, and complete funding applications for United Way and other agencies.
· Assist in audit preparations.
· Compose reports, minutes, and/or letters for the Director or Program Leaders.
· Assist with planning and preparation of meetings and special events.
· Maintain Catholic Charities website, monitor for revisions, including digital presence.
· Provide administrative support for Operation Rice Bowl (ORB) and the Catholic Campaign for Human Development (CCHD).
· Maintain Catholic Charities planning calendar and organizational charts.
· Maintain files for Program administration, including program database and statistical reports.
· Create forms, flyers, PowerPoint presentations, and brochure pages as needed.
· Provide for printing needs of Program Leaders.
· Provide new employee orientations, ensure completion of required paperwork, and maintain employee and volunteer files.
· Assist with employee and volunteer background checks and completion of required Safe Environments paperwork.
· Perform other duties as assigned.
Supervision For: None
Specifications:
Associates Degree in Accounting or equivalent combination of education and experience.
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio, and percent.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists and to interpret instructions furnished in writing, oral or schedule form.
