Position Overview
responsible for providing high-end customer service to the entire school community and is the primary administrative support person to the APSA. This is a full-time, 12-month position.
Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets, bookkeeping, and filing. Software skills are required, as well as Internet research abilities and strong communications skills. May assist with overflow work from administrative offices.
The ideal candidate will be dynamic and energetic with a demonstrated ability to work with little oversight/direction while handling and maintaining confidential information and always exercising discretion/discernment in handling related office and school matters. This role requires a high degree of initiative, professionalism, organization, and stellar communication skills working within a Catholic environment where Catholic values define the words and actions of all.
Responsibilities:
Under the direction of the Assistant Principal for Student Affairs, the Administrative Assistant supports the daily functions of the Assistant Principal and the Office of Student Affairs. This includes but is not limited to:
- Promote a positive image of the school by greeting and receiving visitors to the office.
- Assist APSA at all events, including evenings and weekends.
- Respond to inquiries from students, parents, faculty, staff or other constituents or refer them to the appropriate office or person.
- Safeguard the confidentiality of school administration by exercising discretion in communicating information to faculty, students, staff and the various publics served by the school and in handling administrative records, file, and similar confidential items.
- Coordinate bus transportation for all field trips and activities.
- Assist with bell schedules, seating charts, agendas, and the school calendar.
- Handle the sale of event tickets, other products, and dress down days and reconcile the revenue from these sales.
- Perform general office duties, including answering multi-line phones, routing telephone calls or messages to appropriate staff and greeting visitors.
- Keep detailed records of all events and transactions using Google, Microsoft, and PowerSchool (Student Information System).
- Prepare correspondence for distribution or approval and signature, checking the documents for completeness and accuracy.
- Compose school daily announcements for regular communication to stakeholders.
- Communicate with vendors to request and obtain quotes for services and goods, facilitate the execution of contracts, and submit purchase orders through Turbine (online system).
- Stay up to date on current school happenings and the school calendar in order to answer any questions that might arise, and to share the appropriate information when needed.
- Recruiting, interviewing, hiring, training and scheduling the part-time school store staff
- Schedule and organize complex activities such as school dances, proms, school pictures, busses and other school event/activities
- Prepare and mail all US/UPS/FedEx packages.
- Provide administrative support to the Campus Minister as needed
- Maintain general website homepage (pictures)
- Assist with all offices in the building.
- Perform other duties as assigned.
- Please note: This position requires some nights and weekend hours.
Qualifications:
- At least 3 years of increasingly responsible secretarial or administrative experience is required which must include an extensive knowledge of general office procedures and practices. Must be able to work in a team environment, be self-motivated and possess strong organizational and interpersonal skills
- Strong management and data analysis skills and the ability to work effectively with faculty, administration, and support staff members
- Experience and familiarity with Microsoft Office, Google Docs, Canva and Constant Contact.
- Excellent organizational, written, and verbal communication skills
- Ability to adhere to a long-range strategic plan keeping day to day operations smooth
- At minimum a high school diploma or equivalent.
