GENERAL SUMMARY:
The Vice President of Administration (VPA) is a member of the Executive Leadership Team that will play a pivotal role in ensuring the smooth and efficient operation of our organization. The position will oversee planning, development, and maintenance of our physical and IT infrastructure including new construction and facility maintenance. VPA will manage risk and safety for the organization. The VPA works in close collaboration with leaders across the organization and with external stakeholders. The VPA is a high-visibility strategic partner who supports the organization with effective decision-making, project management, and execution of strategic initiatives.
Strategic Leadership:
- Budgeting & Forecasting: Developing and managing the budget for infrastructure expenditures, including planning for future facility needs and investments.
- Risk Management: Identifying and mitigating risks associated with the organization's infrastructure, including disaster recovery and business continuity planning.
- Legal: Review and coordination of all legal matters working with the CEO and outside counsel.
- Team Leadership: Lead a team through direct reports, including Director of Construction & Facilities Management and the Director of Technology, to manage construction, facilities maintenance, and IT operations. Responsibilities include setting goals, fostering development, and ensuring training for staff across these functional areas.
Physical Infrastructure:
- Facilities Management: Overseeing the management of physical facilities, including office spaces, warehouses, and retail facilities.
- Real Estate and Planning: Managing real estate assets, including acquisition, disposition, and strategic planning of space usage.
- Safety and Compliance: Ensuring that all locations comply with safety standards and regulatory requirements.
- Fleet: Coordinate maintenance, repairs, and replacement.
Insurance Oversight:
- Policy Management: Oversee all aspects of the organization’s insurance policies including property, auto, liability, and other coverages.
- Risk Assessment: Conduct regular risk assessments to identify potential areas of exposure and ensure adequate coverage.
- Claims Management: Manage the claims process, working closely with insurance providers to ensure timely and fair resolution.
- Compliance: Ensure all insurance policies and practices comply with legal and regulatory requirements.
IT and Network Infrastructure
- Design and Implementation: Overseeing the development and implementation of IT systems that support various business operations, including data centers, network architecture, cloud services, and telecommunications.
- Maintenance and Upkeep: Ensuring that all aspects of the company's IT infrastructure are maintained to high standards, are secure, and operate efficiently.
- Innovation: Identifying and integrating new technology solutions that can enhance the organization's capabilities, improve efficiency, and reduce costs.
Requirements:
QUALIFICATIONS:
Education: Bachelor’s degree in business administration, management, or related field (master’s degree preferred).
Experience: Minimum of 8 years of progressive experience in administration, operations, construction and facilities management.
Knowledge, Skills, & Core Competencies:
- Proven leadership experience with a track record of managing diverse teams and complex projects.
- Strong knowledge and experience of insurance policies and risk management practices.
- Strategic Thinking: ability to develop and implement long-term plans that align with organizational goals.
- Adaptability: Flexibility to manage multiple priorities and adapt to changing circumstances.
- Experience with enterprise-wide and/or cross-functional large-scale initiatives with high degree of complexity.
- Keen ability to distill complex ideas into simpler frameworks and develop into communication vehicles for presentations/speeches.
