Position Overview
The Bookkeeper is responsible for maintaining clear financial accountability using QuickBooks Desktop:
- Processes/posts accounting transactions including invoices, payroll, revenues, and expenses
- Uses the system to do research
- Generates financial reports
- Maintains physical accounting files
Essential Duties and Responsibilities include the following:
Payroll:
- Reviews employees’ time sheets in Paylocity, confers with employee for any error(s), obtains written corrections (manual timesheet).
- Prepares and submits payroll to Paylocity
- Generates/prints out reports.
- Uses pro-forma worksheet to generate JE
- Records JE in QuickBooks
Accounts Payable:
- Prepares checks to pay invoices 15 days/a week before they become due
- Sends the checks to the Pastor for signature.
- Ensures that all signed checks are issued in Single Point
Accounting:
- Checks email daily (Outlook)
- Prepares the account posting summary reports for Weekly Mass Collection and submits the reports to Pastor
- Reviews the Weekly Mass Collection report submitted by the counters.
- Records deposits in QuickBooks timely.
- Remits special collections to the Diocese in a timely manner.
- Generates, summarizes, and journalizes monthly On-Line deposits (on-line Giving) from Parish Soft before the bank reconciliation.
- Makes a Fund Transfer related On-Line Giving form Gen. fund to catechetical fund and building fund every month end.
- Reconciles all bank accounts monthly.
- Ensures that the following transactions are recorded monthly.
- Fund on Deposit (FOD) interest
- Health Insurance
- Parish Assessment
- Sabbatical Fund
- Service Corporation Assessment
- Updates employee files as needed, i.e. pay changes, termination, etc.
- Attends the meetings of the Parish Finance Council. Generates and explains financial reports.
- Attends the Diocese administrators meeting.
- Maintains and updates all accounting and employee files.
- Submits reports required by federal and state agencies in a timely manner.
- Prepares and submits reports required by the Diocese in a timely manner.
- Performs other duties and reports as required by the Pastor and the Diocese.
Requirements
- Minimum of 2 years of bookkeeping/accounting experience.
- Competency in MS Office and QuickBooks
- Hands on experience with spreadsheets and financial reports.
- Strong communication and organizational skills.
- Ability to work independently and collaboratively with others in a positive and friendly manner.
- Ability to perform filing and record keeping tasks.
- Associate degree or relevant certification – preferably in accounting or a related field.
Physical Demands
While performing the duties of this job the employee is regularly required to remain in an office at a computer workstation and access information from a computer and use a telephone. The employee is required to be mobile to, from, and within the office, as well as maneuver throughout the parish/school facility to attend meetings, briefings, and other work-related events. The employee may be required to conduct trips to, from, and within various city and county-wide locations to attend meetings or events. The employee must occasionally lift and/or move up to 15 pounds.
