The Assistant serves as a staff resource in support of the Faith Formation Director, Youth Minister and Assistant Director of Children’s Faith Formation, managing administrative functions associated with the programs, particularly record keeping and publicity. This position requires organization, attention to detail and self-motivation. Coordination and collaboration with staff members and parishioners is crucial. This individual must be open to working hours that involve evenings, weekends, and special events as necessary. Bilingual English and Spanish desired. The Assistant reports to the Director of Faith Formation and is a fully initiated, participating member of the Roman Catholic Church.
Responsibilities include:
- Providing administrative support to the Faith Formation department.
- Data input in parish record-keeping systems, including Flocknote and ParishSoft, and preparing and filing documentation for new students.
- Creating Canva or Word/Publisher Documents for handouts or publicity.
- Coordinating email or Flocknote communication to catechists and parents.
- Preparing information packets for parents attending instruction classes for First Reconciliation, Eucharist and Confirmation.
- Assisting as a team member for Family Faith Formation, and as needed, Adult Formation and Youth Ministry events.
- Coordination with vendors (bus companies, diocesan contacts, retreat speakers, etc.) for special events.
- Calendar maintenance and meeting scheduling.
- Helping prepare lesson schedules, handouts and plans for use by the catechists and parents.
Skills / Qualifications:
- Possessing a strong prayer life as a fully initiated, participating member of the Roman Catholic Church.
- Ability to work with the varied gifts and talents of other staff members, catechists, parents, and students, with a teamwork mentality.
- Strong working knowledge of computer programs including Microsoft Office (Word, Excel, Publisher, and PowerPoint) and online systems, with the facility to learn dedicated parish programs.
- Ability to work independently with attentiveness to detail.
- Willingness to support Sunday morning Family Faith Formation sessions as necessary.
- Successful completion of Safe Environment requirements mandated by the Diocese of Charleston to allow for engagement with youth.
