Job Summary:
The Accounting Assistant is responsible for the daily operation and management of program invoices and reports for multiple statewide grants or contract-funded social service programs. Please note, this position is 100 percent administrative and does not include delivering or supervising direct services to clients.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Assist with coding Accounts Payable, Accounts Receivable, account reconciliations, monthly invoicing, monthly expense allocations, monthly financial analysis, year-end assignments and audit prep.
- Assist the Director of Invoicing with the agency's budget review.
- Your role will be crucial in reviewing the Agency Program invoices for contract compliance. You will ensure that invoices submitted correspond with the approved budget, documentation is complete, and expenses are allowable per contract terms.
- Establish and maintain effective working relationships with the agency's accounting staff to resolve invoicing issues.
- Update Excel spreadsheets used to track and monitor the subcontracting agencies
- Assist in making deposits through online banking
- Filing and archiving monthly agency invoices
- Provides support on CCC’s audit engagements
- Reviewing travel reimbursement forms.
- Continuous quality improvement in areas of responsibility that align with CCC’s standards of excellence.
- Assist in updating and writing processes and procedures.
- Work independently, completing all functions and assignments promptly and professionally.
- Review check requests for proper support documentation consistent with CCC’s policies.
- Ability to independently research and reach sound conclusions about financial transactions.
- Ability to provide recommendations on CCC’s policies and procedures.
- Other duties may be assigned.
PREFERRED QUALIFICATIONS
- Experience working in an accounting department in accounts payable, accounts receivable, and general ledger.
- Associate or B.A. accounting degree or related field
- At least one year of progressively responsible and diverse accounts payable, accounts receivable, and financial analysis
- Knowledge of financial recordkeeping, procedures, and practices, as well as general office procedure
- Excellent written, math, organizational, and interpersonal skills.
- Ability to work independently with minimal supervision as needed.
- Intermediate computer skills, including proficiency in MS Office.
- Comfort building and working with spreadsheets, including experience and skill in utilizing formulas in Excel.
- Knowledge of allocation of costs.
- Ability to develop and maintain effective working relationships with staff, departments, and agencies
- Effectively communicate both verbally and in writing
- Ability to work under pressure: meeting multiple and sometimes competing deadlines
