PARISH SECRETARY JOB DESCRIPTION
DESCRIPTION: This is the job description for the position of parish secretary for St. Cecilia Catholic Church - Fox Chase in Philadelphia.

- An ability to work as a team with parish staff members, ministry leaders, and volunteers.
- Understands the importance of confidentiality of church records and conversations. Great verbal and written communication skills.
III. PROFESSIONAL QUALIFICATIONS:
- Have good computer and typing skills. Have knowledge of Microsoft Office applications - Word, Excel, and Publisher. Knowledge of Google Office as well.
- Knowledge of PDS software is preferred.
- Have minimum of a high school diploma.
- Excellent organizational skills and the ability to manage multiple tasks during the course of the day. Attention to detail and accurate data entry skills. Some secretarial experience.
- SUPERVISION: The Parish Secretary is accountable to the Parish Business Manager.
- SALARY AND BENEFITS: The salary offered will be established in keeping with the social teachings of the Church with regard to just compensation for human work. The hourly rate will be commensurate with experience. The position does include opportunities to participate in a health care and retirement plan.
HOURS AND EMPLOYMENT AGREEMENT: This position is a 40-hour work week. The office is closed for all major holidays. Vacations are granted based on parish policy. An Employment Agreement shall be established in writing upon acceptance of employment.

- Welcomes and directs visitors and parishioners.
- Provide administrative, secretarial, and office support to the Pastor and Parish Staff.
- Answers phone calls and forwards calls accordingly in a pleasant and professional manner.
- Respond to parish emails in a timely fashion.
- Maintain parish calendar, schedule appointments, special events.
- Maintain special flower orders and relationships with other vendors.
- Participate in parish staff meeting and Diocesan workshops/trainings.
- Prepares portions of the parish bulletin, parish announcements, and other communications.
- Maintaining parish memberships and sacramental records; Preparing Sacramental Certificates.
- Coordinates information for baptisms, funerals and weddings.
- Generate routine correspondence, digital and written.
- Monitor and order supplies (office, janitorial, sacramental, etc.)
- Assists in maintain a current list of volunteers to contact for different tasks
- Maintains parish data base, parish registration, and sssist with parish envelope company and special collection mailings
- Maintains the Parish Mass Intentions Book and materials related to mass intentions.
- Other tasks as assigned by the Business Manager.
VIII. PERFORMANCE MANAGEMENT: The performance of the Parish Secretary will be assessed on a regular basis having regard to:
- His or her performance on the key responsibilities and attributes for this role.
- His or her ability to develop and maintain relationships with Parish staff and volunteer. His or her participation in fulfilling the vision and mission of St. Cecilia Parish.
