Job Duties
Retreat Coordination
Retreats from externals groups, ministries, parishes, churches, and organizations utilizing the center for their retreat.
· Process event inquiries from intake to implementation. This involves assessing purpose of retreat and its alignment with the MBSC mission, establishing positive relationships with retreat coordinators, determining retreat dates, maintaining communication with the coordinators and processing event agreements.
· In partnership with retreat coordinators ensure that MBSC is ready to support the retreat experience.
o This involves collaborating with supportive departments to make certain that rooms and sacred spaces are “retreat ready”, ordering and coordinating food requirements and needs, and ensuring that the sacristan and weekend hospitality coordinator are prepared for the retreat experience.
· In collaboration with the Executive Director and Weekend Hospitality Coordinator, share the onsite responsibilities while retreats are in process. This involves weekend and late evening responsibilities.
· In collaboration with the Executive Director, determine fees for retreats. This is accomplished in collaboration to support a check and balance system. This collaboration involves
o Processing invoices in a timely manner.
o Track all payments and deposits.
o Manage late payments and accounts receivables.
o Assess the market to guide fee changes.
· Manage the database of all retreat center coordinators and the organizations they represent.
Mother Boniface Spirituality Center Operations
Oversee the day-to-day operations of the Mother Boniface Spirituality Center
· Manage the retreat center calendar, maintaining its balance, sustainability and growth all at the same time.
· Oversee the housekeeping department and ensuring the standards of cleanliness are sustained, maintained and supported.
· Supervise the housekeeping staff and ensure they have what they require to perform their duties successfully and sustainably.
· Provide directional supervision to the Weekend Hospitality Coordinator and Sacristan.
· Develop effective communication tools to keep operational areas up to date on retreats and specific retreat needs.
· In partnership with the Exec Director, develop risk management protocols for the safety of all who navigate through the Center.
· Process all work orders to maintenance and assess needs for facility improvements and changes.
· Manage the shared office equipment space and make certain all equipment is functioning. Maintain all office supplies.
· Maintain all the audio visual equipment and provide recommendations for updating and improving resources for retreats.
· Create an effective directional signage system to support navigating through the center with greater ease and that is environmentally sustainable.
· In partnership with the Exec Director assess areas of the facility that need improvement and repair. Prepare proposals to the General Council requesting changes and improvements.
· Work in partnership with directors and managers of departments, especially with the food service, maintenance, finance and human resource departments in managing the center.
· Manage the petty cash fund and account for transactions.
· Participate in campus wide meetings and gatherings that impact the day to day operations of the center
Mission Integration
May all who enter leave with a deeper sense of Cenacle hospitality and an appreciation for the charism of the Missionary Servants of the Most Blessed Trinity.
· Inpartnership with the Executive Director:
o Assess the messaging and images throughout the center to evaluate the intersection of these with the charism of the MSBTs. Develop a vision and plan that aligns the environment with the charism.
o Create a working definition of Cenacle Hospitality and use it as a guidepost in evaluating the center’s operations, environment and services.
o Develop informational pieces that invite individuals, groups, and organizations to the center.
· In partnership with Communications, Vocation Council Coordinator and Exec Director
o Manage the website to reflect present programs and offerings
o Update social media posts that reflect the mission of the center and inspire social media followers and friends.
· Coordinate community breakfasts and luncheons for audiences who
Program Development
· Redefine and expand the private retreat options for those desiring opportunities to pause in order to be able to listen to the Holy Spirit with and around them.
· In collaboration with the Executive Director, the Council Liaison and others invited to the table, develop offerings that reflect the charism of the MSBTs and support its implementation.
Vision Participation
· In partnership with the General Council, Executive Director and others invited to the table, articulate a vision for the center that is inspired by the MSBT’s charism and that respond to the present spiritual needs of the faithful and community.
· Participate in vision circle conversations and meetings and be open to contribute to the collection of information required to support the visioning process.
Administrative Support
· Contribute to annual budget construction process by supporting estimations for revenue and expenses.
· Contribute to the annual report by maintaining statistics on facility usage and by whom.
· Actively participate in and at times facilitate staff meetings and provide updates and recommendations to improve services and programs.
Requirements
· 2-4 years’ experience in retreat work, hospitality or ministry leadership preferred, or any satisfactory combination of experience and training that demonstrates the ability to perform the above-described duties.
· Experience with event coordination and retreat planning.
· Knowledge and understanding of Catholic Church and organizations preferred.
· Must be detail orientated with strong organizations skills and experience with handling financial transactions.
· Fluent in Microsoft Office applications, especially in Word, Excel and Outlook.
· Ability to welcome all who visit the MBSC with the utmost respect and openness.
· Excellent and effective interpersonal and communication skills, and the ability to work well with people of all ages
· Available to work some weekends and overnights.
· Open to listen and to diverse opinions and perspectives.
· The ability to be flexible, especially in regards to this positions’ work schedule, and possess a willingness to adapt to changing situations and to learn new tasks
· Continuing education is encouraged, including seminars and conferences deemed necessary by the Director.
· A degree in Pastoral Ministry, Hospitality, and General Administration preferred.
· Non-Profit Experience is a plus.
· Bilingual English/Spanish is a plus.
