The Archdiocese of St. Louis strives to teach and share our faith, serve others, and foster unity throughout the St. Louis area. Once a part of Kenrick-Glennon Seminary's campus, the Cardinal Rigali Center in Shrewsbury, MO is today the headquarters and curia (governing body) for the Archdiocese of St. Louis.
Responsible for maintaining records for general ledger, subsidiary ledgers, payroll, accounts receivable, accounts payable, other accounts and current financial information on all funds. Receives little direct supervision and only general oversight from Pastor, Administrator Principal or Business Manager. May utilize accounting computer program to process and keep records. Requires Bachelor’s Degree in Accounting or equivalent, plus extensive bookkeeping experience.
- Provides bookkeeping and payroll services for the parish and elementary school (if applicable) including:
- Maintaining subsidiary records of tuition and related fees. Prepares monthly statements, assesses finance charges, and initiates collection activities.
- Records weekly receipts on proper forms and prepares deposits as needed.
- Prepares reimbursement requests, codes and approves invoices.
- Forwards all financial documents with appropriate back up to Shared Accounting for proper recording in Archdiocesan approved software
- Liaison for parish organizations’ financial activities.
- Coordinates development of parish and school budgets (if applicable).
- In conjunction with the Archdiocesan Office of Human Resources, offers HR support as follows:
- Maintains all parish and school personnel files.
- Prepares faculty contracts.
- Maintains all benefit information and processes all benefit change requests.
- Approves time cards for Office Staff
- Supervises office support staff positions. Participates in the recruiting, hiring, training and evaluating of office staff
- Responsible for providing administrative, secretarial and other related office services for the Pastor, other members of the parish staff, and various other committees and boards and overseeing office staff to include such duties as:
- Prepares bulk mailing as needed.
- Establishes office record-keeping and filing systems.
- Maintains schedule of office hours for staff.
- Attends staff meetings and other meetings as requested.
- Coordinates all contract services for parish and school.
- Reviews monthly statements for capital campaigns and prepares related status reports.
- Liaison with Shared Accounting, Archdiocesan Finance Office. Risk Management Office, Building and Real Estate Office, and the Office of Human Resources.
- Bachelor’s degree in Accounting
- Three to five years experience in bookkeeping
- Previous experience in QuickBooks, Microsoft Word, Excel, and Access.
- Previous training or applicable experience
- Previous experience in Servant Keeper and Parish Helper desirable
- Skilled in using personal computers, including email and internet
- General knowledge and support of the Catholic Church, Catholic sacraments, Catholic rites and liturgies
- Must have organizational skills
- Must have ability to meet deadline
- Must have ability to maintain confidentiality
- Must be able to work with Pastor, Business Manager and Parish Council
- Must be able to work with employees on payroll and benefits issues
