I. Position Purpose
Provide administrative support for parish office and parish life operations for Holy Disciples and Our Lady of Good Counsel. This is a 20 hour per week, Monday thru Friday, non-exempt position.
II. Major Duties And Responsibilities
- These include (but are not limited to): maintaining the parishioner registration in ParishStaq, greeting and directing callers and visitors to appropriate ministers of service, registering new parishioners, responding to parishioner needs, scheduling the use of the facility, distributing incoming mail and the expedient mailing of outgoing mail.
- Keep parishioners informed and updated through the preparation of the biweekly bulletin and weekly announcements.
- Serve as primary administrative point person for maintaining up-to-date parishioner registration information in ParishStaq, our parishioner management software. This includes new parishioner registration, guaranteeing consistency of data formatting, and regularly auditing for database integrity.
- Maintain accurate and up-to-date facility calendars and key log. Coordinates facility usage for parish ministries and approved groups. Coordinates the use of keys for parish facilities as directed
- Administer and manage the Archdiocese Safe Environment Program for the parish, ensuring all employees and volunteers are in compliance; submits annual report to the Archdiocese.
- Record and make updates in sacramental registers.
- Assists with online registration for faith formation and other activities.
- Creates and manages online forms as required for parish events and programs.
- Maintain supplies. Order and maintain office supplies in support of church, staff and liturgical ministries.
- Manage phones: maintain and create up-to-date recorded messages, staff directory, and Holiday/special Mass messages
- Preparing bulk mail in accordance with postal regulations, assisting other staff with their needs.
- Outside of primary responsibilities. Provide general and specific administrative assistance to the Pastor, Vicar, PAA, and other Parish Family staff and volunteers as needed.
- Maintain and enhance connections with our family of parishes in Family 39 to include: Our Lady of Good Counsel, Eatonville; SS Cosmas & Damian, Orting and Our Lady Queen of Heaven, Tacoma.
- Attend staff meetings and staff retreats as assigned.
- Performs other duties as assigned.
III. Qualifications
- Willingness and ability to support the mission of the church.
- Proven experience as an administrative assistant or similar roles
- Technically skilled and comfortable learning new software (with training). Experience working with a database and online giving platform is highly desirable.
- Proficient with Microsoft Office Suite products.
- Ability to prioritize tasks and projects with strong time management skills.
- Strong communication and interpersonal skills
- Pass and keep a current background check on file.
- Participate in all Safe Environment Training and Virtus as prescribed by the Archdiocese of Seattle.
- Maintain a level of confidentiality and professionalism with regards to work/church related issues.
- Perform other duties as assigned.
Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant’s skills and prior relevant experience, certain degrees and certifications.
