Position Summary:
Reporting directly to the Director of Admissions, this person will be responsible for providing high-end customer service to the entire school community and is the primary administrative support person to the Admissions Office. This is a part-time position (19 hours per week), 10-month position.
Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets, bookkeeping, and filing. Software skills are required, as well as Internet research abilities and strong communications skills. May assist with overflow work from administrative offices, from time-to-time.
The ideal candidate will be dynamic and energetic with a demonstrated ability to work with little oversight/direction while handling and maintaining confidential information and always exercising discretion/discernment in handling related office and school matters. This role requires a high degree of initiative, professionalism, organization, and stellar communication skills working within a Catholic environment where Catholic values define the words and actions of all.
Responsibilities:
- Under the direction of the Director of Admissions, the Administrative Assistant supports the daily functions of the Office of Admissions. This includes, but is not limited to:
- Promote a positive image of the school by greeting and receiving visitors to the office.
- Assist the Director of Admissions and the Assistant Director of Admissions with daily operations of the Office of Admissions
- Integration of computer programs such as FinalSite, PowerSchool, and Microsoft Office
- Corresponding with the Maguire, Howley, Neumann, and Connelly Scholarship Foundation liaisons and coordinating reports as needed
- Communicate with various internal departments to coordinate activities and work closely with external parties in administrative matters
- Assist with the Office of Admissions events such as open house, registered students’ night, visitation day, and orientation
- Fielding telephone calls and greeting prospective students and families
- Photocopy and organize papers and records
- Respond to inquiries from students, parents, faculty, staff or other constituents or refer them to the appropriate office or person.
- Safeguard the confidentiality of school administration by exercising discretion in communicating information to faculty, students, staff and the various publics served by the school and in handling administrative records, file, and similar confidential items.
- Stay up to date on current school happenings and the school calendar in order to answer any questions that might arise, and to share the appropriate information when needed.
- Assist with all offices in the building.
- Perform other duties as assigned.
Please note: This position requires some nights and weekend hours, advance notice provided.
Qualifications:
- At least 3 years of increasingly responsible secretarial or administrative experience is required which must include an extensive knowledge of general office procedures and practices.
- Must be able to work in a team environment, be self-motivated and possess strong organizational and interpersonal skills
- Strong management and data analysis skills and the ability to work effectively with faculty, administration, and support staff members
- Experience and familiarity with Microsoft Office, Google Docs, Canva and Constant Contact.
- Excellent organizational, written, and verbal communication skills
- Ability to adhere to a long-range strategic plan keeping day to day operations smooth
- At minimum a high school diploma or equivalent.

- Salary competitive and commensurate with experience.
