St. Charles Pilgrimages LLC is seeking a full-time Pilgrimage Operations Coordinator to oversee the reservation processes for pilgrimages.
Your Role at St. Charles Pilgrimages LLC:
- Oversee the reservations process for pilgrimages including accommodations, airfare, ground transportation, Masses, guided tours, entrance tickets, included meals, and other related items.
Maintain accurate records within our CRM system and our cloud-based drive.
- Facilitate and make timely payments for all reservations.
- Serve as a key point of contact and liaison with our local vendors and partners.
- Accompany international pilgrimage groups as assigned, including traveling for approximately 10-12 days per trip, 2-3 times per year.
- Foster strong relationships and communication with group leaders through emails, calls, meetings, etc.
- Assist in improving operational efficiency and strategies.
- Attend a weekly operations meeting to discuss and set goals for the coming week.
You should have:
- The ability to work independently and report to the managing director.
- Organizational skills, attention to detail, and the ability to manage multiple projects and deadlines at once.
- Experience in the areas of reservations and bookings.
- An ability to learn new skills, to be flexible, respond to ever-changing demands, and perform in a fast-paced environment.
- Exceptional written and verbal communication skills, especially when communicating with vendors and travel partners.
- Extensive travel experience.
- The ability to work well under pressure with deadlines, details, and banking responsibilities.
Bonus points:
- Direct experience in the group travel industry.
- Proficiency with software such as Google Workspace, Monday.com, Flocknote, and eCatholic.
