The Chesterton Academy Office Supervisor position plays a key role in providing a welcoming, joyful, and orderly environment for the school community to flourish.
The Main Office Supervisor is responsible for (1) overseeing the Main Office, its functions, and the Receptionist, (2) assisting with the function and appearance of the school facility, (3) supporting internal and external school communication, (4) supporting the school's IT needs, (5) maintaining school safety and security, (6) assisting with basic HR functions, (7) sustaining the school supply inventory, and (8) supporting school events.
This role will require consistent collaboration with the Headmaster, Director of Development and Marketing, and Board of Directors to ensure the high quality service is given to the greater school community.
As a school representative, the candidate must be a Catholic in good standing and take an oath of fidelity to the Magisterium. The Office Manager reports directly to the Board of Directors. Their job duties are:
Main Office Supervision:
Manage a welcoming, organized, well-stocked, and professional Main Office.
Provide hospitable and warm greetings to all students, parents, and visitors.
Manage School Calendars.
Manage forms and procedures.
Oversee the School Office Receptionist and provide support.
Provide secretarial support to the Headmaster and the Board of Directors.
Coordinate textbook orders and distribution.
School Facility Management:
Coordinate all building improvement projects.
Maintain a list of vendors and contractors as resources for the facility.
Be the main point of contact with the cleaning service company to ensure optimal building performance.
Distribute and track employee keys and fobs to the building.
School Internal/External Communications:
Review the weekly "Chesterton Corner" school email newsletter.
Coordinate the annual student family mailing packets.
Assist with other necessary communications such as emails, mailings, and phone calls to share appropriate information to students, families, and the greater school community.
IT Needs:
Work with IT vendors to ensure our networks, firewall, and server are safely maintained.
Maintain the school's stock of Chromebooks.
Oversee student emails and passwords.
Be the main point of contact for Google Workspace, including adding new users, removing old users, etc.
Issue new fobs for new employees, contractors, etc.
Coordinate proper phone service for all offices. Work with vendors to maintain updated equipment and service.
Maintain needed subscriptions, such as Microsoft Office, for staff/faculty.
School Safety:
Assist the Headmaster and Business Manager with regular school safety drills.
Maintain relationships with local emergency services and the reunification site.
Manage the school security alarm system.
Basic HR Needs:
Work with the Business Manager to assist with initial employee onboarding.
Maintain Safe Environment tracking for all employees and volunteers.
Maintain school job postings.
School Supply Inventory:
Manage inventory of office, bathroom, and general supplies. Support teachers and staff with placing orders as needed. Coordinate purchase orders.
Keep track of where supplies are throughout the building, and assist others with finding them as needed.
School Events:
Support with school events, such as school plays, the annual gala, etc.
Oversee Student Picture Day/Retake Day Scheduling.
Coordinate Parent/Teacher Conference Sign-Ups.
Purchase food, beverages, supplies, and decorations as needed.
Organize event set-up, such as food arrangement and signage.
Coordinate volunteer sign-ups and event RSVPs.
Manage inventory of graduation gowns and related supplies.
Required Qualifications:
Excellent communication skills, especially over phone and email.
Thorough computer skills: Microsoft Office, Google Suite, Canva, JupiterED, TADS, and Constant Contact.
Ability to manage multiple priorities at the same time.
Ability to work late some nights and weekend days for school event support.

Type of Employment:
Full - Time, Year Round, two weeks vacation after 90 days, PTO, no-school/no-work days, school holidays, and summer staff hours.
