The Administrative Assistant for the offices of Archives will be responsible for maintaining accurate records, organizing files, and providing administrative support.
- Process requests for sacramental records.
- Perform searches for sacramental records.
- Annotate sacramental records.
- Assist with genealogical research.
- Assist with reference services (by phone, letter, email, on-site).
- Assist with the supervision of the archive's reading room.
- Assist with the annual sacramental records microfilming project.
- Serve as general receptionist for the archives.
- Supervise archives in absence of archivists.
- Handle and/or respond to incoming phone calls.
- Compose correspondence for various purposes.
- Prepare funds for deposit and prepare requisition requests
- Prepare and process mail.
- Perform other office tasks as needed, e.g. photocopying.
- High school diploma or equivalent
- 2+ years of experience in an administrative support role
- Parish experience strongly preferred
- Strong organizational skills and attention to detail
- Excellent communication skills, both written and verbal
- Neat and clear handwriting skills
- Ability to handle confidential information appropriately
- Proficient in Microsoft Office Suite
- Ability to work independently and as part of a team
- Ability to climb stairs and lift up to 40 pounds
- Must be able to handle some exposure to the normal levels of dust and mold found in an archival setting
Compensation and Benefits:
This position is part-time in-person, 20 hours per week, at the Mary Mother of the Church Pastoral Center in St. Francis. While some flexibility in hours is possible, ideally the individual in this position would work either 4 hours/5 days a week OR 5 hours/4 days a week. The exact schedule will be determined at the time of hire. Hourly rate of $18-$21 per hour, depending on experience. Some weekend and/or evening hours are highly infrequent but may be required occasionally.
