The Coordinator of Case Management assists the Judicial Vicar of the of the Metropolitan Tribunal in managing the daily operations of the Tribunal, ensuring adherence to the established administrative procedures. The Coordinator's primary responsibility is directing the administration of marriage nullity cases, which includes receiving, organizing, and digitizing documents, and maintaining accurate case records. The role involves facilitating communication with petitioners, respondents, their advocates, clergy, parish staff of the Archdiocese of Boston, and the public.
Additionally, the Coordinator assists the Judicial Vicar with the administration of other cases and matters that come before the Tribunal, with the Tribunal’s educational initiatives, and with oversight of the financial records processed by the administrative staff.
Experience in Tribunal work and a degree in canon law are preferred, along with proficiency in English and Spanish, both spoken and written.
- Direct administration of cases, including scheduling timelines and delegating tasks to the administrative staff
- Manage the reception, organization, maintenance and digitizing of all documentation, including data entry, use of the CaseMaster database, and the Tribunal archives
- Oversee all correspondence, including phone calls and emails, regarding cases and other Tribunal matters
- Prepare and update templates and forms for Tribunal correspondence, documentation, and processing cases, with specific means to measure and assess performance
- Perform support functions related to the daily operations of the Tribunal judges, defenders of the bond and court experts
- Supervise the participation of advocates and their submission of briefs at the conclusion of cases
- Oversee staff training on Tribunal procedures, case management, and technologies/software used for cases, scanning, and archiving
- Ensure confidentiality of all office matters and proceedings in accordance with Canon Law and the directives of the Judicial Vicar
- Perform other duties as assigned by the Judicial Vicar or his Delegates
- A Catholic in good standing, known for good character, prudence, and a willingness to support the mission of the Roman Catholic Church and canonical norms concerning marriage
- Strong service orientation and ability to handle highly confidential matters with pastoral sensitivity, good judgment, respect, and discretion
- Demonstrated ability in designing, implementing, and refining organizational processes to align with the mission and goals of the Tribunal
- Strong interpersonal skills for building positive, collaborative relationships with colleagues and to lead and motivate teams in a professional atmosphere
- Proven skill in communicating effectively in writing, e-mail and telephone, including with people who find themselves in challenging situations
- At least 3-5 years of administrative experience, including management, public interaction, and analysis of process performance data
- High-level writing, editing, and organizing skills
- Excellent computer literacy, including proficiency in using a database, as well as Microsoft Teams, Word, Outlook, Excel, and PowerPoint
