Mary, Queen of the Apostles Parish in Salem, is looking for a part-time Administrative Assistant to join their team. Primary job duties include managing communications, oversight of the parish office, and managing the schedule of the Pastor. It is expected that the employee fulfills these duties in accordance with Catholic values and ethics, in a Christian and professional manner. This is a part-time, non-benefits eligible position, up to 10 hours per week and you will need to work at the parish office in Salem.
Essential Responsibilities
- Manage office communications to and from parishioners and visitors (in person, phone, email, social media). Coordinate communications with Pastor or parish staff to ensure consistency of parish messaging.
- Manage the schedule of church, hall, conference rooms, office, and rectory spaces for various liturgical, ministerial, meeting, rental, and other purposes.
- Organize and coordinate meetings and trainings with staff and volunteers.
- Order office supplies.
- Schedule mass intentions; add to Outlook calendar; send and/or fill out Mass cards if requested.
- Oversight of compliance for Archdiocese including Criminal Offender Record Information queries for staff and volunteers.
- Oversight of parish databases (e.g., volunteer list, sacramental records).
- Supervision of parish staff and volunteers for set-up and tear down of hall and conference room spaces.
- Escalate issues/problems to the Pastor as needed.

- Performs other duties and/or projects as assigned
- Knowledge, skills, and abilities of common computer programs (Microsoft Office 365)
- Ability to follow project plans and support projects through completion.
- Strong interpersonal skills, ability to develop professional relationships at all levels in a Catholic community.
- Ability to supervise volunteers assisting in related projects.
- Ability to demonstrate strong written and verbal communication skills.
- Ability to handle highly confidential, sensitive, timely, and critical matters professionally.
- Ability to demonstrate empathy and a pastoral sense of care towards those in irregular situations or those with complex or difficult presentations who come to the parish for ministry and support.
- Ability to use a computer keyboard for up to 4 hours a day.
- Ability to sit up to 4 hours a day.
- Ability to lift up to 20 pounds.
- Ability to navigate city neighborhoods and buildings in the community
Qualifications
- 2-3 years’ experience in an administrative or similar role: coordinating and organizing scheduling, record keeping, and communications using common computer and software programs and specialty software products required.
- Must be able to work on weekends as needed.
- Must be willing to support the mission and local vision of the Roman Catholic Church, preferably a practicing Roman Catholic.
- Associates or bachelor’s degree in business or related fields preferred.
- Ability to communicate verbally and in writing in both English and Spanish preferred.
- Experience serving as a lay minister or staff member in a Catholic parish preferred.
