I. POSITION PURPOSE
Columbia River Catholic (CRC) is seeking a full time, administrative assistant for its Mission at Our Lady Star of the Sea (OLSOS) in Stevenson, WA.
The administrative assistant/volunteer coordinator provides on-site coordination and administrative assistance as needed to support ongoing operational activities for Our Lady Star of the Sea (OLSOS) in Stevenson, WA.
This position maintains open communication with the Parish Manager, the Parish Coordinator, the Parish Business Manager, the Parish Director of Facilities, and other staff members who will help support OLSOS in their areas of expertise.
Ii. Major Duties And Responsibilities
- Provides on-site administrative support
- Maintains parish office, on-premises organizational filing systems, and database systems for the office at OLSOS. This includes but is not limited to the Parish Management Systems.
- Monitors an inventory of supplies, including liturgical, faith formation, office, kitchen, cleaning and other supplies.
- Actively learns Parishioner Management applications and advocates for increased adoption and usage by parishioners at OLSOS.
- Collects new parishioner registration forms.
- Maintains the facilities calendar for the mission parish.
- Partners with the St. Thomas facilities team to ensure proper management of church key inventory, and to ensure the appropriate level of oversight of contractors and third-party vendors.
- Provides staff coverage to parish mission office as needed or arranged.
- Serves as secretary to the OLSOS Pastoral Council.
- Serves as a liaison between OLSOS and St. Thomas to ensure accurate sacramental records and accurate financial records through the delivery of information.
- Researches, interviews and oversees the cleaning service for OLSOS.
- Ensures all aspects of Sunday Mass are prepared appropriately, priests, sacristans, lectors, hospitality, choir, all have information they need for each Sunday or Holy Day of Obligation.
- Ensures all aspects of the “Safe Environment” program are implemented and follows. (VIRTUS background checks and safe environment training.)
- Recruits the necessary catechists for the OLSOS Faith Formation Program. Partners with the HR staff to maximize a robust program.
- Maintains ongoing partnerships with Columbia Gorge Catholic churches, specifically St Joseph’s in White Salmon and St Mary’s in Hood River in order to share resources when needed. Also, continue the strong partnership with the Holy Cross Priests at the University of Portland.
- Coordinates Volunteers
- Serves as liaison and public relations representative between parish and parishioners, actively recruiting, training and coordinating volunteers to address the ministries.
- Communications
- Prepares weekly content for Mission Parish Communications to be distributed via the bulletin, e-blast, website, and other channels. Assures availability and distribution of communications asset at weekly mass.
- Provides input on behalf of mission parishioners into the parishioner user experience for all communication channels, including branding and content, and partners with the St. Thomas communications team to support user acceptance and channel adoption.
- Prepares letters, brochures, forms, and other correspondence for the office.
- Works with those in need to connect with the Nathe Fund Committee for assistance.
- Assists with answering the telephone and greeting visitors and assisting them or referring them as appropriate.
- Supports Funeral Arrangements
- Partners with St. Thomas administrative team to coordinate funeral planning for parish families
Iii. Secondary Functions
- Performs other duties as assigned.

Qualifications
High School Diploma preferred but not required.
Demonstrated history of administrative work.
Ability to prioritize multiple projects and manage time effectively.
Ability to communicate clearly and effectively with both supervisor, and other staff/volunteers.
