Job Summary
We are seeking a highly organized and detail-oriented Administrator to join our team at Holy Family Cluster primarily working from St. Mary's Catholic Church in Chatfield. The ideal candidate will be a practicing Catholic responsible for providing comprehensive administrative support to ensure the smooth operation of our office to ensure the pastoral and administrative needs of the parishes are sustained. This role requires proficiency in various office management tasks, excellent customer service skills, and the ability to manage multiple priorities effectively.
Responsibilities
- Manage daily office operations, including scheduling appointments and maintaining calendars.
- Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date.
- Serve as the first point of contact for providing exceptional customer support and service.
- Handle phone systems, directing calls appropriately and responding to inquiries in a professional manner.
- Maintain organized filing systems for both physical and digital documents.
- Utilize Google Suite for document creation, data management, and communication with team members.
- Support office management tasks such as ordering supplies, managing inventory, and coordinating meetings.
- Prepares, administers, and reviews the budget with collaboration with the Finance Committee and Pastor.
- Oversees volunteers for the Faith Formation Program.
- Understands Catholic social teaches and applies it to parish policices.
- Maintains confidentiality in all areas of responsibility.
Skills
- Strong administrative skills with a focus on organization and attention to detail.
- Proficient in data entry with a high level of accuracy.
- Management or Human Resources experience would be helpful.
- Familiarity with Google Suite applications (Docs, Sheets, Drive) is essential.
- Knowledge of phone systems and ability to manage multi-line phones effectively.
- Ability to work well under pressure while maintaining a positive attitude in customer interactions.
- Excellent customer support and service skills with a friendly demeanor.
- Strong computer skills with the ability to learn new software quickly.
