Administrative Assistant/Secretary
Part time position available between 16 and 20 hours per week working primarily as the front receptionist at St. Peter Catholic Church in Greeley, CO. The hours are 8:00 am - 4:00 pm, Monday-Thursday, and 8:00 am to 12:00 pm.
Basic office administration tasks, including answering phones, welcoming visitors,
record keeping, along with scheduling of the facilities This position reports to the Pastor. Responsible for providing secretarial and related office services . Ability to speak Spanish a plus.
1. Receives and places telephone calls.
2. Schedules appointments as requested.
3. Produces written communications (letters, reports, memos).
4. Processes mail.
5. Greets and refers visitors to the appropriate minister, services or agencies.
6. Opens and distributes incoming mail and arranges for delivery of outgoing mail on a daily basis.
7. Prepares bulk mailing as needed.
8. Maintains office records, i.e. parishioner records and filing.
9. Attends staff meetings and other meetings as requested.
10. Schedules parish facilities to include maintaining a calendar that identifies the time, date, name
of organization, room scheduled, and use of keys for facilities.
11. Coordinates the timely opening of the parish office in the morning and the secure closing of the
office in the evening. Ensures that all machines are off, windows and doors are closed and
locked and all appropriate lights are off.
12. Oversees an inventory of office supplies. Orders materials, supplies or equipment as needed.
13. Performs other duties and assumes other responsibilities as mutually agreed upon with supervisor.
B. SECRETARIAL POSITIONS SUPPORTING PARISH ACTIVITIES
1. Updates parish directory records on a regular basis and adds/deletes/changes information as needed.
2. Maintain the parish offering envelope system. Updates data on a regular basis.
3. Coordinates scheduling of events in conjunction with weddings and funerals.
Qualifications
1.Active member of a Roman Catholic parish faith community.
2. An understanding of Apostolic Mission within the position and the ability to be a team player.
3. High school graduate or equivalent.
4. Demonstrated ability to learn parish data and word processing system.
5. Computer skills including WORD and EXCEL.
6. Demonstrated ability to set priorities and organize work effectively and efficiently including
developing and maintaining effective record-keeping systems.
7. Ability to compose correspondence, minutes, and/or reports.
8. Excellent people relations skills for representing the parish to those who call, write, or visit.
9. Ability to honor and maintain confidentiality.
PHYSICAL DEMANDS/WORK ENVIRONMENT
While performing the duties of this job, the employee is frequently required to stand, walk, sit, use
hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; talk and hear and
occasionally required to climb stairs; balance; stoop, kneel, crouch, or crawl. The employee must
frequently lift and/or move up to 10 pounds and occasionally life and/or move up to 25 pounds.
