Summary of Position
Provides administrative support to the Priest serving in the above roles as he fulfills the tasks assigned by the Bishop of Bridgeport, maintains the files of all seminarians, organizes associated events and coordinates the budgets and finances for both departments
Essential Duties And Responsibilities
- Assists priests with the administrative aspects of their ministries
- Prepares and maintains correspondence, calendars and all related departmental lists
- Coordinates application procedures for seminarians, and maintains digital and paper files of all seminarians, including the major and minor seminaries and Redemptoris Mater, from the application process through their priestly ordination, ensuring all required records have been received fully completed and are appropriately maintained in their file, including both personal and academic records, background screens and required training
- Assists with Seminarians’ summer assignments
- Serves as the liaison for all schools, seminaries and diocesan offices
- Coordinates immigration paperwork for international seminarians
- Plans and organizes events, including Masses, Holy Day services, Candidacy, Diaconate and Priesthood Ordinations, lunch/dinners, retreats, Mission trips, Holy Hours and other events
- Coordinates travel, conference registrations and associated plans
- Prepares, maintains and monitors budget for vocations office and department of seminarians
- Coordinates and processes monthly seminarian stipends
- Processes, tracks and monitors invoices, credit card receipts and statements
- Manages and processes grants
- Management and coordination of fleet of cars for seminarians
- Manage office needs such as ordering supplies, maintaining subscriptions, ordering textbooks and clerical clothing, coordination with facilities and archiving/shredding documents
- Handles projects
- Other duties as assigned
Education/Qualifications/Experience Requirements
- Available to work 15 hours/week
- Practicing Roman Catholic
- Five to ten years of related experience, preferably with supervisory responsibilities and in a church environment
- High school diploma, college degree preferred
- Strong organizational and interpersonal relations skills, detail-oriented, flexible, ability to work independently and with limited supervision and to manage multiple projects at the same time
- Excellent written/verbal communication skills
- Minimum of Intermediate knowledge of MS Office and Quick Books
