The Diocese of Jefferson City has a unique opportunity for a Senior Level Administrative Assistant to provide clerical support to the Tribunal Office. This would be a great position for a paralegal or someone who is familiar with Canon Law or the Tribunal process.
The primary duty of this position is to provide administrative and clerical support to the judges in adjudication of petitions for invalidity of marriage and processing of dispensations/permissions for the celebration of marriages in the church. Reporting to the Judicial Vicar, this individual also interacts with Advocates, Judges, Defenders of the Bond, parish personnel and current and potential parties to nullity cases. The successful candidate will be expected to be familiar with Catholic terminology with the willingness to learn the basics of Canon law to facilitate the various canonical procedures for which the Tribunal is responsible.
Essential duties include:
- Tracking of marriage nullity cases
- Prepares documents, opens and maintains case files
- Answering telephone calls and taking messages
- Processing incoming and outgoing mail
- Preparing, sorting and filing correspondence
- Receiving visitors and answering routine questions
- Generating and maintaining reports
- Transcribing taped information
- Notarizing documents, both ecclesiastical and civil
- Performs other duties assigned by the Judicial Vicar
Requirements:
- Some college is required or experience as a paralegal
- A good knowledge of Catholic terminology
- Preference for an individual with knowledge of canonical or tribunal matters
- A minimum of five (5) years high level administrative assistant experience
- Ability to work independently, manage time and perform multiple tasks
- Ability to maintain strict confidentiality
- Knowledge of office software
- Ability to obtain a commission as a Notary Public for the State of Missouri
