Position Summary:
Are you a bold administrative professional looking for an opportunity to make a real impact? The Apostolate for Family Consecration (AFC) is looking for a passionate, organized, and strategic individual to join the Advancement Team in supporting the needs of our rapidly growing Catholic non-profit ministry. The Executive Administrator works closely with all internal Advancement staff, including the prospect research associate, sponsorship/grant writer, and major gift officer; in addition, this position will matrix, at times with other AFC Teams such as the Marketing Team, the Annual Fund Team, Finance Team, Events Team and other staff in supporting departmental and organizational objectives. As the central contact in the Advancement office, the Executive Administrator is responsible for supporting the Advancement Team and disseminating information regarding all travel, scheduling, communication, and orchestration of outside activities, meetings, and special events.

Salary Range: Salary dependent upon experience

Supervisory Responsibilities: From time to time the employee may supervise other team members on specific projects as determined by the Advancement Lead.
Travel: 5%
Major Duties and Functions:
Responsible for the day-to-day operations of the Advancement Team in preparation and dissemination of communication inside and outside the organization, including direct mail, event invitations, and RSVPs.
Scheduling of internal and external meetings along with planning and orchestration of events outside the organization in locations across the nation.
Supports the Advancement Lead and the Major Gift Officer in documentation of strategy sessions, meetings, and rating and ranking sessions.
Maintain all files for all prospective benefactors who can support the Apostolate at the $10,000+ level.
Assists the Grant Writer in compiling documents needed (from the Finance Department and programmatic areas) to submit grants and reports.
Responsible for logging all mail/correspondence to and from major donor constituents, especially funders and grantors.
Assist in maintaining a general calendar of meetings and events for Advancement Team in order to maintain and organize the activities of the team.
Disseminate direct mail, e-mail, video, and other stewardship and solicitation opportunities to major donors/prospects in coordination with the Advancement Lead and the Marketing Team.
Provides administrative support to the Advancement Lead.
Maintain inventory of marketing materials for distribution to major donors/prospects. This would include personal thank you notes and letters, annual reports, newsletters, brochures, and other marketing materials in support of Advancement goals.
Perform additional duties as assigned by the Advancement Lead.

Education and Experience:
Bachelor's degree with at least 3-5 years' experience working in an administrative leadership role.
Prefer experience with a nonprofit organization with major gifts and/or fund development effort in a faith-based and mission-driven setting.
Physical Requirements:
Prolonged periods of time sitting and using a computer.
Occasionally you will be required to stand and walk for 30 minutes or more.
Occasionally you will be required to stand, reach, bend, and lift up to 30 lbs.
