Position Overview
The Executive Administrative Assistant & Receptionist directly supports the President and the Executive Team in their duties and responsibilities, provides general receptionist support, and works cooperatively with other administrative support.
Receptionist for MQP (Daily)
• Provide general reception support including managing the phone system, greeting visitor and parents, and managing the visitor electronic check in process
• Manage the Entre Gate System
Essential Job Functions
• Demonstrate a commitment to Catholic values and the promotion of the associated culture within a Catholic school
• Provides administrative support for the President and the Executive Team
• Serves as the President's liaison with the faculty, staff, students, and parents
• Coordinates all communication and meetings with Board of Directors, assists with preparation of presentation materials, maintains all records of the Board of Directors, attends and records minutes of Board of Directors and committee meetings as required.
• Assists with various meetings with the President through catering, location set up, meeting attendance and scheduling
• Manages all appropriate faculty/staff information as directed by the President and Administrators
• Creates and maintains personnel files for all staff and faculty
• Establish and maintain calendar for the President and Principal
• Assists the President in the management of the school's Strategic Plan
• Assists the President and other Administrators in the recruitment of personnel through the application and interview process
• Assists the President with gifts, cards, invitations, and special projects as assigned
• Perform other related duties as assigned.
Physical Demands
• Lifting up to 25 lbs unassisted
• Frequent prolonged standing, sitting, and walking.
• Manual dexterity for typing and filing

Educational and Experience Requirements
• Some college preferred
• Previous experience in an administrative role is required
• Prioritize and manage multiple projects simultaneously and follows through in a timely manner
• Contact with students, parents, visitors, and other school personnel requires positive interpersonal
relations.
• Excellent computer skills, strong organizational skills, and a high level of confidentiality.
