**Job Summary:**
We are seeking an experienced and organized Administrative Assistant to join our school office team. This role is essential in providing exceptional administrative support to our thriving school community.
The ideal candidate will be proficient in office management, possess excellent customer service skills with students, parents, and new prospective families, and be able to multitask and be flexible on daily tasks. **Duties:**
- Manage and maintain the office environment, ensuring a clean and welcoming atmosphere for students, families, teachers, and staff.
- Provide exceptional customer service, responding promptly to inquiries, and addressing any concerns or issues in a professional and courteous manner.
- Utilize computerized systems to manage and maintain accurate and up-to-date records, including student data, parent information, and office administrative tasks.
- Assist with data entry, ensuring accuracy and efficiency with school records.
- Serve as the primary point of contact for parents and prospective families, managing phone calls and walk-ins with a friendly and professional demeanor.
- Manage office supplies and equipment, ensuring that our facility is always well-stocked and operational.
- Coordinate appointments and schedules for the school administrative team, and occasionally teachers and staff.
- Assist with administrative tasks, such as preparing reports, filing documents, and maintaining the office filing system.
- Maintain a high level of attention to detail and accuracy in all administrative tasks.
- Develop and implement efficient office management systems to improve productivity and reduce waste.
- Utilize Bill.com to manage office finances and ensure compliance with financial regulations.
- Manage office hours, ensuring that all administrative tasks are completed on time and to a high standard.
- Develop and maintain a positive and supportive work environment for all staff members.
**Experience:**
- Proven experience in administrative roles, preferably in a school office environment.
- Strong experience with computerized office management systems and data entry.
- Excellent customer service skills, with the ability to communicate effectively with school community and staff.
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Experience in receptionist roles is preferred, but not required.
