GENERAL PURPOSE: To serve as the first contact an individual has to the parish; to gather and disseminate information in an efficient and effective manner to staff, parishioners, business contacts, archdiocesan offices, and anyone who needs assistance; to execute various tasks for Pastor as requested. This position is available for both full-time and part-time candidates.
DUTIES AND RESPONSIBILITIES:
Parish Office and Catholic Center Management:
Orders Pastoral Center and Catholic Center office supplies and equipment
Manages the parish master calendar
Maintains the schedule for use of facilities (church, pastoral center, catholic center)
Works with the Business Administrator to prepare a budget in regards to office supplies, kitchen/pantry supplies, paper stock, and office equipment
Manages and maintains phone system voice mail
Manages the scheduling and recording of Mass stipends and disbursements of stipends to payroll
The receptionist will collect, record and secure all monies received from book sales (see Book Sales policy and procedure)
Performs a daily walk through of the facilities and ensures that the Center remains clean
Clerical and Secretarial Duties:
Organizes incoming mail
Prepares and assists with parish correspondence to parishioners, Archdiocesan offices and other entities or persons when appropriate
Takes minutes for the staff meetings
Making sure that the parish paperwork is well ordered
Parish Receptionist:
Answers all phone calls coming into the front desk
Provides assistance to those who come into the Pastoral Center
Administrative Assistance for the Pastor:
Assisting the priests with scheduling appointments
Preparing logistical assistance for events
Aiding in correspondence directed to the pastor
Communicates with employees on project updates to assist in timely completion
Correspondence with other parishes
Finding sacramental assistance
And other duties as assigned
This person is also the staff liaison to the following groups: Groups outside of the parish using parish facilities, parish small groups, and other parishioner initiatives
EDUCATION: College degree preferred or a minimum of 2 years experience working at an executive level as a secretary or administrative assistant.
SKILLS: The Administrative Assistant must possess interpersonal skills that promote Christian charity and the mission of the Church. This person must demonstrate excellent verbal and written communication skills, capacity for orderliness and prioritize workload to meet deadlines. The Administrative Assistant must be flexible with assigned workload and duties. Proficiency with computers, office software programs and data base programs is necessary.
QUALIFICATIONS: Have a positive and supportive attitude toward the Catholic Church, her teachings, and her work, refrain from public promotion or approval of any conduct or lifestyle that would reflect or disgrace on, or cause scandal in relationship to, the Archdiocese of Denver, or considered to be in contradiction with the Catholic doctrine or morals.
PHYSICAL REQUIREMENTS: Ability to operate computer and mouse, copier/printer, and multi-line telephone. Ability to lift and/or move up to 25 pounds. Must be able to sit for extended periods of time. Ability to work on a computer and look at a computer screen for extended periods of time. Must be able to move around enough to pull and replace files in a variety of file cabinet types.
