Position Overview
We are seeking a highly organized ministry administrative assistant to support the Director of Marriage & Family Life and the Director of Multicultural Ministries. The ideal candidate will possess strong computer skills, excellent written and verbal communication skills in both English and Spanish, and a passion for serving the diverse needs of our diocesan community. Employees of the diocese may neither teach nor espouse doctrines contrary to the Catholic faith nor may they promote any cause which is in direct conflict with the teachings of the Catholic Church. Qualified candidates should have knowledge of and the ability to effectively convey the official teachings of the Catholic Church regarding Scripture, doctrine, morality, spirituality, and sacramental preparation with demonstrated fidelity to these teachings. This is to properly assist the Marriage and Family Life, and Multicultural ministries. This person must be a practicing Catholic
Key Responsibilities
• Provide administrative support to the Director of Marriage & Family Life and the Director of Multicultural Ministries.
• Manage calendars, schedule meetings, and coordinate events.
• Assist with the planning and execution of programs, workshops, and events related to Marriage & Family Life and Multicultural Ministries.
• Maintain accurate records, files, and databases.
• Handle incoming calls, emails, and other communications in a professional and timely manner.
• Serve as a liaison between the Directors and various parish ministries, as well as external partners as well as other departments within the diocesan office.
• Perform general office duties such as ordering supplies, managing mail, processing invoices, credit card billing, and check requests.
• Complete tasks as assigned offering feedback on these tasks.
Qualifications
• Fluent in English and Spanish, with excellent written and spoken communication skills in both languages is preferred.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software, for example, Canva.
• Strong organizational skills with attention to detail, and completion of tasks.
• Ability to manage multiple tasks and priorities effectively.
• Previous experience in an administrative role, preferably within the Catholic Church or non-profit setting, is a plus.
• Ability to work independently and as part of a team.
• Strong interpersonal skills and a commitment to confidentiality.
• Attention to time and attendance for the workplace
• Minimum weekend or evening work.
• Able to lift 20 lbs., sit for long periods of time, and keyboard work.
