JOB SUMMARY
The Safe Environment Coordinator has the overall responsibility for providing a safe environment for all children and vulnerable adults in Diocese of Pensacola-Tallahassee. This safe environment is accomplished through the appropriate screening and training of clergy, religious, employees, and volunteers. On-going education and child protection programs for children, youth and adults in the Diocese, and for ensuring compliance with all reporting requirements is an important component of this position.
The Safe Environment Coordinator must provide proactive reinforcement of the Diocese of Pensacola-Tallahassee’s commitment to child, youth, and vulnerable adult protection, implementation of the Pledge to Promote a Safe Environment, and oversight of the related policies and procedures.
This position encounters a diversity of work situations with some complexity. Contacts are made both inside and outside the Diocese. In addition, this position is involved with confidential/sensitive information necessitating discretion at all times and will collaborate with the Director of Human Resources, as necessary.
JOB RESPONSIBILITES
Include but not limited to the following
· Serves as primary Diocesan contact person for the implementation and on-going leadership of the Diocesan Safe Environment Program.
· Coordinates and enforces the day-to-day compliance with safe environment requirements of the USCCB Charter for the Protection of Children and Young People, Florida State law, Canon Law, and the Diocese policies and procedures.
· Maintains data collection system/database for the purposes of tracking and reporting compliance of Diocesan sites including parishes, schools, and agencies in accordance with Diocesan policy.
· Ovesees the criminal background check and credentialing process for Safe Environment, including follow-up on any adverse findings.
· Responsible for recertification strategy recommendation, implementation, and follow-up with those responsible for compliance at Diocese locations.
· Assists in establishing educational programs and developing appropriate diocesan-wide policies for sexual abuse and sexual harassment in conjunction with the personnel functions of the Diocese.
· Trains the Safe Environment Coordinators in parishes, schools, and agencies to ensure compliance with all aspects of the program, including record keeping and training.
· Develops and updates all Safe Environment reference material and manuals.
· Develops and manages record keeping procedures for all training aspects of the Diocesan Safe Environment Program.
· Regularly communicates updates of Safe Environment topics to each parish, school and agency.
· Establishes and maintains an internal audit system to ensure Diocese meets the national audit requirements and provides all necessary documents for audits by the national Office of Child and Youth Protection. Works with auditors, diocesan departments, parishes and schools to coordinate on-site audit visit.
· Tracks safe environment compliance and recertification of priests, deacons (permanent and candidates), religious and seminarians. Informs same of upcoming compliance expirations.
· Logs and answers any calls or emails from the Diocesan Abuse Hotline and/or email address. Coordinates all initial reports of abuse by non-clergy with the Chancellor.
· Maintains information needed from Department of Children and Families for Preschools. Voluntary Pre-Kindergarten and for Summer Camps.
· Makes sure the Diocese follows the User Agreement for the Criminal Justice Information Services.
· Maintains the Dissemination Log for the FDLE
· Sets up and maintains training for employees that have access to Criminal Justice Information (annual requirement).
· Creates, sends and tracks monthly invoices for each Diocesan site for payment of background checks. Completes request for payment forms to pay monthly invoices of all safe environment compliances.
· Assists, as needed, with the Annual Survey of Allegations and Costs (CARA Survey).
· Maintains report notice for VOICE of the Faithful.
· Attends USCCB and other required Safe Environment meetings.
· Maintains the Office of Safe Environment webpage on Diocesan website, ensuring that appropriate and updated Safe Environment Program information is posted.

JOB SPECIIFCATONS
: High School and some college or equivalent experience required.
: Two to four years in related field preferred. Practicing Catholic preferred.
: Valid state driver’s license. Must pass background screening, motor vehicle report and credit check. Must pass the yearly training for Criminal Justice Information access.
: Knowledge and proficiency with Microsoft Office Suite programs including Word, Excel, Outlook, and PowerPoint. Previous experience with VIRTUS is preferred.
: Organizational and planning skills, communication skills, information gathering and information monitoring skills, problem analysis and problem solving skills, judgment and decision-making ability, initiative, confidentiality, attention to detail and accuracy.
