The Archdiocese of St. Louis strives to teach and share our faith, serve others, and foster unity throughout the St. Louis area. Once a part of Kenrick-Glennon Seminary's campus, the Cardinal Rigali Center in Shrewsbury, MO is today the headquarters and curia (governing body) for the Archdiocese of St. Louis.
The Parish Secretary will serve as an integral part of the parish community. This valued resource will act as a receptionist and perform secretarial and other related office services. Some basic bookkeeping duties will also be the responsibility of the Parish Secretary. The position is Monday through Friday with a weekly minimum of 35 hours worked.
- Must be able to maintain confidentiality in all matters
- Provides secretarial and clerical services to the pastor and other designated staff.
- Provides receptionist services for the parish office including the recording of clear and accurate messages, the handling of routine questions about policies, events, etc. and greeting visitors.
- Distributes mail and other related material
- Schedules parish facilities. Maintains a calendar that identifies the time, date, name of organization as well as room or building scheduled to use. Coordinates the use of keys for facilities
- Coordinates scheduling of weddings, baptisms, funerals and other events. Contacts appropriate persons involved, communicates with families/relatives regarding procedures for services
- Coordinates office volunteers for various projects
- Prepares collection bags for weekly collection
- Prepares material for the Children’s Corner for the weekend Masses
- Enter and Maintain parish registration records. Includes sending welcome packet to new parishioners.
- Process end of the month reports for various committees. This includes ACA, OSV, and St Louis Review.
- Maintains sacramental records for the parish in both the sacramental books and on Parish Helper
- Assists in writing, updating and/or implementing new policies or procedures to better run the Rectory or other parish organizations/ministries.
- Performs other duties as assigned
- 3+ years of experience in a general office environment preferred
- Proficiency in Microsoft Office Suite (Excel, Word, Publisher)
- Skilled in using a personal computer including email and internet
- Have experience using copiers, scanners and other office equipment
- Previous experience in Servant Keeper and Parish Helper desirable, but not required.
- Will work closely with Pastor, Associates and other parish employees
- Must have well developed "people skills" in interacting with all who call or come to the parish office
- Must have good time-management and organizational skills
- General knowledge and support of the Catholic Church as well as a practicing Catholic is required.
