Job Title: Office Operations Manager
Reports to: Pastor
Job Summary:
Saint Raphael the Archangel Catholic Parish, a vibrant, multicultural, Jesuit parish of over 4,000 families, is seeking an Office Operations Manager. This position is central to and critical for all parish operations.
Key Responsibilities:
1. Office Administration
- Manage the daily operations of the office to ensure a productive work environment.
- Facilitate staff meetings, including booking rooms, preparing agendas, sending reminders, and managing technology for that purpose.
- Manage campus-wide master calendar and room reservations calendar.
- Manage the Mass Intentions calendar.
- Manage the DSX electronic door access system, as well as control of all fob devices.
- Manage security camera coverage with the Director of Technology.
- Procure and maintain inventory and oversee storage of office supplies in accordance with the annual budget.
- Maintain an organized office layout including furniture, equipment, and technology.
- Administer the Diocesan Safe Environment and background check program for all employees and volunteers.
- File and manage campus incident reports.
- Serve as the parish point person for campus security initiatives.
2. Database Management
- Collaborate with all departments to maintain the parish membership database, including, but not limited to, registering new parishioners and making necessary updates to current accounts while ensuring data integrity, security, and accessibility.
- Provide training to staff and ministry leaders on database usage and best practices to ensure consistent and accurate data management.
- Work with departments to transition to a new member database in the upcoming years.
3. Event Planning and Coordination
- Ensure compliance with Diocesan policies and procedures for all campus events.
- Serve as the logistical liaison for parish-wide ministerial events.
- Review and approve all room reservation contracts.
- Oversee the logistics of staff events, including scheduling and on-site management including room set up and catering.
Qualifications:
Education: Bachelor's degree or equivalent work experience
Experience: Minimum of 3-5 years of experience in office management or similar role
Skills:
- Attention to detail and the ability to prioritize and manage diverse organizational needs
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Proficient in or willing to learn office management software (e.g., Microsoft Office, Google Workspace, Realm or Parish Soft, Compass and related software)
- Dedicated to collaborative ministry and the advancement of the vision of the parish
- Possess excellent leadership, organizational, and communication skills in both written and spoken word
Hours and benefits:
- This is a full-time, professional position. The typical workweek will be 37.5 hours including some weekend, holiday, and evening work.
- The person in this position is eligible for the benefits described in the Employee Manual of the Diocese of Raleigh.
