Holy Spirit Parish is seeking an experienced Church Secretary who will report directly to the Pastor and support the Parish staff. We are looking for an individual who is efficient and a self starter. The ability to multi-task, while maintaining complex schedules and managing administrative support is essential in this position. The ideal candidate for this job is resourceful, a good problem solver, and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.
1. Desktop publishing: Weekly bulletin including gathering information, formatting, page layout and editing. Create fliers for events as required (MS Publisher)
2. Electronic Media: Management of the church website including updating webpages & web calendar. Facebook administration. Content creation and management of eBulletin Board. Management/scheduling of livestreaming.
3. Email: coordinate multiple email accounts (G-Suite and Outlook). Timely response and dispatch of correspondence.
4. Database Administration: maintain multiple databases. Primary contact with IT consultant (Midlevel Computer knowledge is a plus).
5. Secretarial tasks: phone answering, greeting visitors, letter writing, maintaining calendars, new parishioner registration, updating Sacramental Records, certificate creation, routine purchases, interacting with Diocesan Offices, answering ad hoc questions, scheduling Mass intentions, supporting the Parish staff and performing other duties as assigned.
SKILL SET REQUIRED:
• Associate’s degree in Office Administration or related field or proven administrative experience
• Proficient in MS Office with expertise in Publisher. Database entry and report extraction
• Experience working with and maintaining basic office equipment
• Have an excellent command of English composition, grammar, spelling, and punctuation as well as excellent oral communication skills
• Excellent organizational and time management skills
• Must comply with the Diocesan Child Protection policy including passing a BCI and/or FBI background check
• Comfortable working in a religious work environment
• Knowledge of Catholic tenants is preferred but not required

Time Commitment: 4 days a week (M-Th). Office hours are 8:30am-4:00pm.
