The Sisters of St. Mary of Oregon are currently seeking a Full-Time Executive Assistant to support the Leadership Team with administrative duties. These duties will include preparing meeting minutes, coordinating special events, conducting research projects and providing general operational and clerical support.

Essential Duties include, but are not limited to the following: Responsibilities:
- Complete a broad variety of executive support tasks for SSMO Leadership team.
- Organize the scheduling for meetings, appointments, maintenance (as needed) and use of campus facilities.
- Coordinate with the leadership team, preparing agendas, taking minutes and follow up on action items.
- Preparing documents, updating and maintaining an organized filing system.
- Manage, organize and file confidential medical documentation while maintaining HIPPA guidelines.
- Gathering information in support of managerial objectives.
- Assist in preparation of reports and presentations using MS office suite.
- Other projects and duties as assigned.
Required Skills/Abilities:
- Exceptional organizational skills and attention to detail.
- Strong ability to work collaboratively, accomplish organizational goals and act proactively.
- Experienced business writer.
- Excellent verbal and written communication skill, including strong writing, editing, and proofreading skills.
- Orientation towards taking initiative and ownership of projects and assignments proactively.
- Intermediate to advanced computer skills and MS Office software.
- Aptitude to communicate tactfully and compassionately.
- Maintaining a high-level confidentiality at all times.
- Data entry, computer use, and telephone etiquette.
- Basic insurance knowledge a plus.
Education and Experience:
- Bachelor’s Degree in Business Administration or related field
- Or An associate’s degree in general office occupations and two or more years of secretarial or administrative support role, nonprofit industry is preferred.
- Or An equivalent combination of education and experience.
- Microsoft Office Suite, email, social media, text, online portals, webinars, and more.
- Ability to provide a valid driver license and insurance upon hire.
- Ability to travel less than 5%
This is a full-time, on-site, non-exempt role, Monday-Friday. :
