General Position Summary: The Administrative Assistant of Faith Formation will assist the Director of Religious Education in communicating with families regarding Faith Formation programs as well as completing various administrative tasks for the department on a regular basis.
Principal Accountabilities
- Answering emails and phone calls with respect to Faith Formation programs and Sacramental preparation steps for families. This would include VBS, family faith formation, adult catechesis, youth groups, and in-person elementary, middle school, and high school catechesis.
- Assisting with administrative needs for Hispanic ministry.
- Assisting with administrative needs for OCIA and OCIA Adapted for Children.
- Preparing sacramental certificates and maintaining sacramental record books when the sacraments have been received. This would include baptism, communion, confirmation, and matrimony.
- Collecting and maintaining youth group emergency forms.
- Creating labels, name badges, mailouts when necessary.
- Purchasing online classes from Faith Formation registrations through approved online platforms such as mycatholicfaithdelivered.com, and answering questions from parents regarding access and resources.
- Assisting with accounting reports.
- Assisting in maintaining a presentation library in Microsoft TEAMS based on primarily the Wednesday evening Lecture Series.
- Assisting with administrative and food preparation for parent meetings, youth groups, adult, youth, and child catechetical programs and events including the parish mission.
- Other duties as assigned.

- Supervision provided by the Director of Religious Education

Working Conditions And/or Physical Requirements
- This position works in a typical office environment but is subject to stress due to the evolving and quickly expanding business needs.
- Occasional evening and weekend work may be required.
- Some driving may be required to pick up items as needed.
Education And Experience Preferred
- Associates level degree preferred
- 2 to 5 years’ experience preferred.
- Experienced user of Microsoft Office 365.
- Knowledge of parish database programs and online forms preferred.
Knowledge And Skills Preferred
- Practicing Catholic in good standing
- Knowledge of the Catholic Church, Catholic sacraments, Catholic rites, and liturgies
- Familiarity and experience with computers, computer programs and office equipment.
- Comfortable and confident in learning new computer programs and systems.
- Strong communication skills.
- Ability to compose correspondence and announcements. Excellent grammar and English.
- Ability to honor and maintain confidentiality.
- Demonstrated ability to set priorities and organize work effectively.
- Bookkeeping experience a plus.
- Bilingual: English/Spanish a plus.
