The Clergy Trust (CT) is committed to providing ongoing care and support to all priest of the Archdiocese of Boston in good standing. The Clergy Trust is seeking an Office Assistant for a part-time, 25 hour a week position to provide operational, organizational and administrative support for the Clergy Trust team.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Anticipate CT needs in all administrative areas and follow through on initiatives with little direct supervision.
- Provide calendar management by managing multiple calendars and schedules including the coordination of complex meetings.
- Create and execute various eblasts using Constant Contact which includes creating emails, tracking open rates, responses etc.
- Record minutes at various Board, Committee, and team meetings.
- Execute mailings for various initiatives of the CT office which include all aspects of preparing for mailing.
- Prepare Collection donations deposits and related support.
- Help maintain compliance with State and Federal Health Care Information laws (HIPPA) and documentation support in Salesforce system.
- Support coordination of data entry updates into the various benefit systems.
- Maintain inventory of various supplies including stationary, cards, envelopes and related materials.
- Research, draft and edit correspondence for CT leadership.
- Complete miscellaneous routine administrative tasks such as filing, copying, scanning.
- Pick up and sort mail from mailroom.
- Interact in positive and professional manner with staff and visitors at the Pastoral Center.
- Other Office Duties may be assigned to assist all team members
QUALIFICATIONS:
- Associates degree or equivalent work experience.
- A strong interest in supporting the Clergy of the Archdiocese.
- Willingness to support the mission of the Catholic Church.
- Should be a self-starter with strong follow-through skills
- Ability to be nimble and take direction from leadership team members
- Ability to work effectively and collaborate across multiple teams
- Excellence in project management, meeting deadlines, and tracking all aspects.
- High level of proficiency with Microsoft Office.
- Prior experience with Constant Contact or other email delivery system a plus.
- Excellent written and verbal communication skills
- Optimistic, enthusiastic and positive team-oriented professional.
- Willingness to work outside normal duties to help meet team goals.
PHYSICAL PERFORMANCE ELEMENTS:
- Ability to use a computer keyboard for up to 8 hours/day.
- Ability to sit for up to 8 hours/day.
- Ability to lift up to 20 pounds.
