GENERAL STATEMENT OF DUTIES: Under the direction of the President, the Business Manager / Controller is responsible for assisting the President and Board of Directors with the planning and administration of the financial assets of the school for the purpose of advancing the mission of Incarnate Word Academy (the school). DISTINGUISHING FEATURES OF THE POSITION: This position requires a working knowledge of non-profit and educational regulations and policies, and the frequent exercise of independent judgment in accomplishing financial duties. The Business Manager / Controller also performs all other duties as assigned.
EXAMPLES OF WORK: (Illustrative only) Develops financial well-being of the organization by providing financial projections and accounting services, including overseeing preparation of short and long-term financial plans for Incarnate Word Academy. Also responsible for identifying and analyzing trends, developing models to forecast the future availability and use of resources, developing options for administrative decision making; assisting in the implementation of these plans. Accomplishes financial human resource strategies by determining accountabilities; communicates and enforces values, policies, procedures, and planning and reviewing compensation strategies. This includes: o Recommends job descriptions, policies, and procedures for Business Office personnel, including supplements to the Personnel Handbook if necessary. o Conducts research and performs financial impact studies concerning employee wages and benefit issues. o Serves on any committees regarding the Personnel Handbook. o Oversees maintenance of employee benefits. Manages funds and capital resources to meet the objectives of the school. Develops finance organizational strategies by contributing financial and accounting information, analysis, and recommendations to strategic thinking and direction and establishing functional objectives in line with organizational objectives. Supervises and evaluates the work of the bookkeeper or any other employees in the business office. Supervises and regularly reviews the investments of the school. Assists in maximizing return on invested funds by identifying investment opportunities and maintaining relationships with Advisors and committee. Coordinates the preparation and regular review of the operational and capital budgets of the school. Assists with the annual review or audit preparation and reporting requirements. Prepares quarterly reports of the financial activity of the school, as well as any other financial reports requested. Prepares and presents an annual financial report for the Board of Directors. Provides educational presentations to the administration, faculty, staff, school families, the Board of Directors as needed and directed. Acts as a financial resource to, and maintains good communication with, the administration and Board of Directors. Coordinates legal matters related to Incarnate Word Academy, including the negotiation of contracts with outside vendors. Develops, coordinates, and oversees the insurance programs of the school. Maintains relationships with financial institutions and business organizations on behalf of Incarnate Word Academy, and represents the school in financial situations as appropriate. Assists the school in keeping current with other issues that affect the finance office. (E.g. legal and fiscal matters surrounding education, insurance, capital improvements schedule, etc.) Evaluates, recommends, and oversees the integration of accounting software and related hardware for the Finance Office. Establishes finance operational strategies by evaluating trends; establishing critical measurements; designing systems; accumulating resources; resolving problems; and implementing change. Develops financial strategies by forecasting capital, facilities, and staff requirements; identifying monetary resources; and developing action plans. Monitors financial performance by measuring and analyzing results, initiating corrective actions, and minimizing the impact of variances. Updates job knowledge by remaining aware of new regulations, participating in educational opportunities, reading professional publications, maintaining personal networks, and participating in professional organizations. Accomplishes finance and organization mission by completing related results as needed Performs all other duties as assigned.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES: Has knowledge and experience of computer operations and accounting software. Attentive to details and accuracy. Must maintain a high level of confidentiality. Ability to communicate and explain financial information in non-technical terms. Ability to establish and rearrange priorities. Ability to prepare clear, sound, accurate statistical reports, records and statements. Tact and courtesy. ACCEPTABLE EXPERIENCE AND TRAINING: Bachelor’s degree in accounting, finance or a related field. Five (5) years’ experience in accounting, business management and computerized financial systems, or any combination of training and experience that provides the required knowledge, skills and abilities. Certified Public Accountant certification a plus, as is experience in a Senior Management position. Proficiency with accounting software, word processing, and spreadsheets. Solid GAAP and financial reporting technical skills essential. ESSENTIAL FUNCTIONS: While performing the duties of this job, the employee is regularly required to use hands to finger, handle, feel or move objects or equipment, to operate machines and equipment, and to reach with hands and arms. The employee is frequently required to sit, stand, stoop, bend, talk, see and hear. The employee is frequently required to walk, including climbing stairs. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The individual may regularly lift object weighing ten (10) pounds and must occasionally lift objects weighing up to twenty (20) pounds. WORK ENVIRONMENT: The work of this position is primarily performed indoors. Depending upon the task being performed the individual may be subject to cold, heat, environmental allergens, dust, etc.
