The Diocese of Lansing is accepting applications for a full-time Administrative Assistant to support the Chief of Staff, General Counsel, and Communications Director.
We seek an individual who is tenacious, highly detail-oriented, well organized, has proven project management experience and strong interpersonal skills to work with a wide variety of people. He/she is skilled in completing routine clerical duties, assisting in managing projects, conducting research, coordinating meetings and events, managing calendars, and creating reports as needed. He/she must be a Catholic in good standing and must be eligible to work in the United States.

Knowledge, Skills, and Abilities:
The ideal candidate:
- Finds joy and fulfillment in managing the details and tasks that lead to the completion of projects.
- Will have completed an associate degree in a business administrative field or achieved equivalent job experience.
- Must have at least three years of advanced administrative and/or event planning experience.
- Must be fluent in the use of the Microsoft Office 365 Suite; Familiarity with Flocknote, SmartSheet and Zoom a plus.
Primary duties and responsibilities include:
- Provide general clerical assistance to the Chief of Staff, General Counsel, and Communications Director. This entails answering the telephone, receiving messages, drafting memos, filing, scheduling meetings, reserving rooms, ordering office supplies, and other general administrative duties as needed.
- Must maintain confidentiality regarding information received as part of the daily work.
- Prepare all hospitality and meeting needs for various meetings which include: the Diocesan Pastoral Council, twice monthly Cabinet meetings, quarterly all staff meetings, twice annual pension board meetings, monthly editorial meetings, and any other meetings as requested.
- As directed, collect, compile, and prepare comprehensive research files inclusive of demographic information, including annual pew counts, parish sacramental data, and any other statistical measurements which continue to influence the Church of Lansing in serving its ten counties.
- Maintain contact (including email) and demographic information spreadsheets for all priests living in our diocese.

Handle the collation and distribution of various electronic newsletters. Maintain email distribution lists through Flocknote.

Take meeting minutes and distribute as requested.

Prepare online registration forms (Smartsheets) and presentation materials as requested.
- Receive and distribute mail.
- Submit check requests to the finance department as needed. Reconcile credit card expenses and receipts as requested.
- Must assist with large diocesan-wide events such as Chrism Mass, Ordinations, and lay events such as assemblies.
