General Position Summary: The Receptionist welcomes all who come into or telephones the parish office. The receptionist also provides administrative services to staff and members of the parish committees. In addition to typing, filing and scheduling, performs duties such as coordination of meetings and conferences, obtaining supplies, and working on special projects. Deals with a diverse group of employees, callers, and visitors. Independent judgment is required to plan, prioritize and organize diversified workload.
Principal Accountabilities
- Complete front desk responsibilities including greeting guests, answering phones, and routing calls to the appropriate departments
- Translate written communications and documents
- Manage the Catholic Center meeting room calendar and schedules
- Sort and route incoming correspondences, including faxes and email and letters to all departments and clergy
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders, and verifying receipt
- Manage & monitors security cameras, doors, & gate during business hours
- Manages & schedules security access for events outside of office hours
- Manage & distribute faxes throughout the day
- Water & maintain plants in the lobby area weekly
- Mail handling
- Responsible for other projects, tasks, etc., as assigned by the immediate supervisor
Education And Experience Preferred
- High School Diploma or equivalent required.
Knowledge And Skills Preferred
- Computer skills: experienced in all Microsoft Office programs, (Word, Excel, Publisher, PowerPoint).
- Bi-lingual English/Spanish required.
- Ability to maintain confidentiality in all aspects of the job.
- Professional demeanor and excellent interpersonal skills.
- Works well with the general public and can represent the parish favorably in all interactions with parishioners.
- Experience with office machines such as copier and postage meter.
- Knowledge of Roman Catholic beliefs, etc.
- Demonstrated ability to set priorities and organize work effectively.
- Flexibility in accepting new or modified duties as the position evolves.
- Excellent telephone and interpersonal skills; ability to interact competently and compassionately with those who call or visit the department as well as with pastor, parish staff and volunteers
- Ability to organize and multi-task
Qualifications
- Demonstrate capability to carry out administrative and supervisory duties in a timely fashion, utilizing good communication and relationship skills.
- Bilingual in English and Spanish.
- Working one day over the weekend.
